Monthly fee for unlimited Coffee

I own a coffee shop and want to offer a monthly recurring fee for unlimited coffee. I get that I can do a recurring invoice for the unlimited coffee fee monthly but then how do I ring up the coffee when they come in? Do I have to memorize which customers have it? Is there a better way to do this or a 3rd party app?

This may help you.  So we have a Car Wash and we offer an Unlimited wash service.  I have an item for the level of service and the price that we charge when they purchase the service.  We then had custom business cards made up as their membership card.  On the back, we add a label using a brother label printer, (works with iPad) and put their name and expiration date on it.   They present this every time.

When they come in for a wash they present the card we look up there name and ring a "Usage" item.  This is an item with a zero price. This way we can track how many we do as part of this program.  In your case you may want to add a Coffee Club Discount, so you can track coffee type.

Now the other thing we have done is put these customers in a special group so we can manage them better.  We also added an expiration date as a customer profile.  In our case, we offer 6 months and 12 months memberships.

What were your business cards made of, e.g. paper or plastic, and what kind of Brother label printer did you use? Thanks.

@RHatch If you have time can you take a look at @Lindstra's questions about the set up you described in your post? 😀

For the brother printer there is an app called "Brother iPrint&Label" for the iPad.  The printer I have is older this is the new brother model.  Works well for us I just wish we didn't have to retype the info.

We order our cards from Overnightprints.com. I designed the card and upload the image.  There card stock is nice and heavy.  You can get rounded corners to make them look even cooler.

Hi if anyone is looking for a solution like this there is a software called Submatic (www.submatic.io) that integrates with Square to offer this exact feature.

My name is Dan and I developed Submatic to help retailers leverage subscriptions.  Our integration with Square automates discounts and product redemptions based on rules that you configure.  Our software tracks and communicates the membership benefits with Square so that you don't have to track anything manually or with physical cards.

Check out our website or reach out to me on the forum here if you'd like more information thanks!

Hi @ColdFront I've found this app on the Square AppStore https://squareup.com/us/en/app-marketplace/app/subport

Subport handles this for you: subscribers order through your subscription portal (which can be an app that's branded to your store that customers have) and it keeps track of their subscription status and when they can order. So they order ahead and when they walk in it's ready for pickup.

For example, you can set a limit of max. 3 coffee redemptions per day, if the subscriber is passed that, the Subport app won't allow them to get another one "for free". You don't have to memorize it 🙂

Let me know if you have any questions about it.
