The way I would do this is to use the squareup.com webpage to upload a catalog of Bid numbers. If you were doing this for a auction once a week I would create a google sheet like this: https://goo.gl/9Z5WoQ (ask for permission to edit the file if you want to interact with the sample file).

The item name column contains the date of the auction and the bid number as B0001, B0002, etc. Likely you print up only so many bid number tickets so I would create the item name column to have as many rows as you need. Using a spreadsheet trick, highlight row2 (columnA-L) and take the corner and drag it down to automatically create  as many rows as you going to print bid tickets. Do not put values or change the Token column, and by leaving the Price column blank this will allow you to place the final Price in Register at the time of checkout. Put the appropiate sales tax in column L.

In playing with this I though it might be useful to have the Catagory column be the date of your Auction, that way you can create a tile on your register by date. The date has a period at the end of that string to prevent the date from incrementing when you create additional rows, see above. But I still think its important to have the date of the auction imbedded in your item name too. The reasons for the date to be associated with your auction is that item names that are identical create an items with variations, and this is likely not what you want in squareRegister.

Once you you create this sheet, you will need to download it as a csv, in Google Sheets, use File -> download_as -> Comma seperated values. Then on the Squareup.com website, go to Items and Import this file.

Once imported to square, on Register you can now check a bidder out either by doing a Search by bid number "B0012" or finding the bid number in the pull down by that catagory.

Hi @Gigis and @badgers1

That's a great reply and workable work-around option for running an auction checkout.

There's an easier way to do an auction checkout with Square though and that's by using Bidstation, a Square partner solution. We partnered with Square to make an affordable and easy to use fundraising auction event system (think auction point of sale system) that lets you save your bidder's card on file at check in (using an app)so they don't need to visit checkout to pay.  It's also good at handling cash and check payments.

Full disclosure: I work at the co that makes the Bidstation software and provides help and support for those who are tasked with running a charity auction event. We have over 10 years of auction software experience and we love thinking about, researching and figuring out the best methods for running a smooth auction event with no lines or stressed out staff/volunteers and happy, engaged donors.  Plus, we work with and are trusted by some of the best auction event organizers and benefit auction specialists in the business.  Our system is available for free download and trial at www.auctionzoom.com.

Bidstation will track all winning bids as well as donations and purchases so you can easily sell raffle tickets, wine pulls and games as well as live raise a paddle type donation calls and see them all calculated and itemized on a printable and email-able invoice for checkout. Card on file allows you to charge cards in bulk at the end of the auction or anytime following the event (many of our customers process payments in the days following the event).

Square is starting to get the word out to Sellers via email and we're looking forward to collaborating on some additional information for their website soon. I know many nonprofits will be happy to know that there's an official Square integration (Square App Marketplace listing page here) for charity auctions!  We've had great feedback on it too for how simple it is, how quickly you can get up and running and for how well it brings together a ton of manual tasks (printing bid sheets even!).

Check it out for your next auction and direct message me for a discount if you want to sign up. I'd also be interested in hearing any comments you might have!
