W2 Amendment

My employee just realized she had entered her social incorrectly (while filing her tax return). The correct social # is now in the payroll system but how do we get an amended W2 generated? I can’t find much information on the support pages.  Thank you!

You’re welcome @Bliss1004.  You’ll either set up an online account with the SSA and submit the change there, or order the form W-2C from the IRS, fill it out, and mail it to the address in the instructions.  The appropriate link to do one or the other is in the section “Form W-2, Wage and Tax Statement” after you follow the link in my original reply above.

Hi @Bliss1004.  Sorry to hear this.  That’s never fun.

 

Square doesn’t handle this for you.  You and your employees had until January 31 to review and correct W2s before they were submitted to the SSA.  Now that they have been submitted you have to file form W-2C directly with the SSA yourself.  Click here to see a Help Article on amending any tax return that Square files for you.  Filing amended returns, unless the error was entirely Square’s fault, is not something that is part of our payroll package, which is true of all payroll providers as far as I’ve known.

 

After you’ve reviewed the information in that link above, feel free to reach out here if you have questions.  I’ve amended a few returns in my day and can probably assist you further.  Also, I see you’ve updated your payroll system which is good.  However, don’t be surprised if you and your employee get notices from SSA telling you that there are problems matching SSN to name.  That could happen quickly, or months from now.  So keep good track of your documentation about when you learned of the error, what caused it, how you corrected it, etc, in order to get it resolved with them quickly.

Thanks Chip! I’ll probably have more questions along the way but I would need to file the amendment both with the IRS and SSA? Sorry- so new to this issue.
