For inventory purposes, when I ring up a glass of wine how can I set it up for it to automatically discount a bottle of wine from the inventory?

We're happy to announce a new Square for Retail feature: Sell-by Units and Stock Conversion.

 

Square for Retail Plus subscribers will now be able to sell an item in different units, and track inventory with those units - for instance, sell candles by a case of 12, by a bundle of 6, or by a single candle.

I've combined both of your threads, as it seems you are both dealing with the same conundrum. 

 

Aside from the Square for Retail subscription, there are a few workarounds that I've seen some sellers use, but the ones you're currently using might be the best option. 

 

@Sctn4elk Had a similar post a while back, hopefully they can chime in with their own strategy. 

 

 

 

I have a wine tasting room.  I package a bottle of wine with glasses to sell as a set.  The alcohol has to be tracked separately from the merchandise do to all the taxes and reporting.  I would like to sell the set and have Square break out the merchandise from the alcohol using only one sales button for the set.  Any ideas on how to do that?

This would be so helpful for anyone who sells items that are either (1) a fractional portion of a larger item (wine by the glass vs a bottle of wine, alcohol by a serving vs a bottle of alcohol, ice cream by the scoop vs by the 5 gallon drum, etc), or (2) sells items individually that are also sold as part of a combination or mixture (a vodka shot vs a shot of vodka sold as an ingredient in a Long Island Iced Tea). As of now, sellers are forced to use some sort of reconciliation after the sale is completed in order to have an accurate inventory. 

 

I'm no software engineer, but it seems as though allowing the end-user to tell the system that a 'Long Island Iced Tea is made up of these ingredients so when I sell one adjust the inventory for those ingredients' wouldn't be the most difficult thing to code. We're all hoping that this is coming soon.

 

This is the case. I enter my Product as : Lavender Essential Oil. My total inventory we formulate lets say is 1 Liter. Then Under that product I add variations like: 1ml, 3ml, 5ml, 10ml, 15ml, 1oz, 2oz..... 
If I sell 3ml it wont deducted from that 1 liter. It wll deducted from the total 3 ml I entered. So, yes I tried to enter 1000ml and then at POS select 3 Amount so it will deduct 3ml  but if I sale 5ml (other variation) under same product I have to enter 1,000ml per variation and in my case I sale the Liter p/order in all different sizes. (online or in store). 

Is there a way that every variation get deducted from the original Inventory?  Like, If I enter Lavender 1,000 and created 8 variations. If I sale 10ml Variation the total inventory goes down to 990ml. If I sale 30ml Variation, then the inventory goes down to 930ml. Is that possible?

Thanks for posting such a detailed explanation of how you'd like to track your inventory, @jbsal - and welcome! 👋

 

The ability to deduct weighted decimal amounts from a larger weighted amount of liquid, and then have the sold quantities removed from the inventory automatically, is currently a feature request. Our product team appreciates this level of detail, so I've moved your post to this thread where we're tracking interest in this feature - especially because you've provided very specific reasons for wanting this ability. We'll be sure to post an update here in this thread when we have one!

 

In the meantime, I'd recommend peeking at this post about how decimal quantities work with Square. It could also be helpful to take a look at this thread where another seller has explained the way they have been tracking their liquid inventory.

Thank you. I thought I didn't explained it that well because after I read it it was messy. I was on the phone for a while with square and not, that is not an option yet and he told me that I can submit it but please thank you for doing it. 

In our case we package our product as the order come (store front or online ) our that liter of oil. 
Means we dont have inventory os 10bottles of 3ml that can easily get deducted from inventory. 

So, when we have 1,000ml in the fridge and an order comes in of 5ml lets say... my product is enter as: 1L Lavender Essential oil  x  3 variations 1ml, 3ml & 5ml. I would have to enter 1,000ml to each variation and that is not true. I cant fill up vials sizes ahead of time neither to divided into inventory. Because sometimes I sale more 5ml vials, sometimes Im sold of 1ml vials. 
So, I have to do this manually. Every sale amount I have to make sure I write it down to see how much left over I have at the end of the day. 😞 

The Idea is that every time I sold a 5ml square takes 5ml off the 1L inventory. If I sale 50ml under same product but different variation will take it off from 1 L inventory.  Means at the end of the day I have 949 ml 🙂

In Square for Restaurants, is it possible to have multiple individual items linked to a common inventory item, such as a count for Burgers, but have multiple burger items linked to it? I don't use a single burger button with variations right now because I have customized modifiers on each burger to be able to instruct the kitchen exactly what goes on each one, and it also eliminates potential errors when servers enter those items. I'd like to be able to tell how many burgers are supposed to be in inventory across all of those items.

Right now, sharing inventory across items is not supported with Square for Restaurants but it's a great idea we've heard before. Hopefully we can develop this down the road.
