Will the Square Terminal print a transaction report showing each separate transaction?

Will the Square Terminal print a transaction report showing each separate transaction? So far the best I can find is a daily summary showing the totals, but I need the separate transactions. I know I can find the Transaction Detail and export to CSV on the Dashboard, but our previous card processing terminal allowed us to print straight from the terminal to minimize paper usage and storage space.

Hello @gvnursery! There is a way to print a report showing each separate transaction from the Square Terminal at this time. You can print a Sales Report from the Terminal from the Reports section — but that report is a summary. You are correct, to view a list of each transaction you can sign in to your online Square Dashboard.

 

So I can share your feedback with the Terminal team, would you use a printed report for your record keeping or is it also useful to review sales or inventory, or something else?

It would be VERY helpful to be able to print out a detailed transaction report. I have a bookkeeper  and she needs printed reports for tax reasons. IE: if I were to be audited, those have to be turned over to the IRS. I only have the terminal. Am I right on this? IE: there's no way to print a transaction report from the terminal? In your previous response, you said there "IS" a way, but seeing as how you followed that with "...at this time," I am assuming you meant to write "is NOT"

Hey @bangbang great question. While you cannot print transaction reports, you can print your sales summaries with item sales from the Square Terminal.

 

Here’s how:

  1. Tap the three horizontal lines on the navigation bar.
  2. Tap Reports > Sales to see today’s payment activity, or tap Balance to see a list of your most recent Square transfers.
  3. To change the date of your report, tap the slider icon at the top of the screen.
  4. Select a start and end date.

You can email or print a sales report – just tap the envelope icon or printer in the top-right corner.

 

I hope this helps! The only way to print a transaction report would be to export a CSV of the report from your Square Dashboard and print from there. You can also take a screenshot and print that out if all of your transactions fit on the screen.

Thank you for your response. I appreciate it. I have done that now.
 Thing is when you are trying to balance the books or your register ( I have a cash register for all sales, but use Square now for charges ) or have a discrepancy, you need to be able to backtrack each sale IE: If somethings off and all you can see are the totals, you have no idea where the error occurred.

If I go to Balance>Transfers, I can click on each day's transfer and see the "pretty" detailed breakdown popup on the right side. This is exactly what I'd like to print for my records as treasurer. Unfortunately, there isn't a "friendly print" button for this, or even an export to pdf. If I just hit print from the browser, it's smart enough to capture just that popup, but not smart enough to stretch it to the entire printable area of the page, so I can't actually see the individual card payment descriptions. Just "S..." or "P...", etc.

 

Surely somebody at Square can figure out how to make this printable!

At the time- you're right that you can only do this on the online Dashboard and not the Terminal itself.

 

It looks like there's a fair amount of other sellers looking for this too so hopefully this will be something we can implement in future improvements!

My problem with the csv report is that there is a TON of unnecessary information that has to be edited out in excel just to get the totals. I can do it, and that's what I'm using at this time, but I have to delete rows out and simplify it just to get what I need to reconcile. I'm sure big businesses probably have an easier time with this because they have automated registers and stuff. The small guys like us who don't have scannable barcodes or cash registers and hand write tickets for customers have more human errors. Ha.

A big vote for this feature upgrade!

 

We are currently trying to transition to Square and our restaurant employees rely on a detailed report to help reconcile and find any missing merchant/auth slips that did not print or went missing.

How do I alert Product staff?

 

We need to reconcile cash versus EFTPOS transactions at the end of every shift and I don't want to allow dashboard access to the sales staff.

No, but you can log into the online dashboard, export the transactions to a .csv (Excel Spreadsheet) and then print it.

The biggest reason is reconciliation. We enter each separate customer ticket into Quickbooks and enter how they paid and in what amounts. When it comes time to reconcile the credit card transactions listed in QB to the receipt the Square Terminal prints out, if the totals don't match, it is extremely difficult to match back the transactions to find the outage. Having each total printed with the summary would make my life a million times easier. I spend HOURS trying to reconcile sometimes. Thanks for your response!
