What is the difference between the gross sales on a daily summary and the total collected? My gross sales is higher by $5 from my total collected.
Gross sales is what you charge your customer.
Net collected is what you actually earn after you have to pay Squares Fees any Discounts you offered and any sales tax you collected.
Gross sales
- Sales Tax
- Discounts
- Square Fees

Total Collected
You can see this on your Square Dashboard under Reports then Sales Summary.
Ok, I can understand that breakdown. I guess it's confusing me on my summaries because my online orders are showing me Gross Sales being less than total collected and I can just add my taxes to get total collected. But my storefront Gross Sales is greater than my total collected but none of the other numbers can be subtracted or added to figure the difference.
Ex (online sale)
Gross Sale: 38.25
Total Collected: 40.20
Net: 38.25
Fee: 1.47
Taxes:1.95
Storefront
Gross is 343.79
Total Collected: 339.00
Net 315.79
Taxes: 23.21
Fees: 7.51
This is where I get confused
I see what you mean and all mine are showing Gross less than Total Collected but we have very few returns to see if that is where the issue is. Be cause I just found a date that I had a Refund and then my Gross was Higher then my Total Collected. The small list of numbers and references was meant as a general guideline, You need to look at all the numbers in the Sales Summary Report. The other thing to note is when you do a Refund for a Credit Card Sale Square refunds their fee also. If the Refund Fee is Less than the Fees you incurred for that day you may only see the Net Fee charged by square in the Sales Summary Report. You would need to look at the Transactions Reports for each Transaction to see the get the total fees charged for your new transactions and also get the Refunded Fee and see if that adds up correctly. Since I do not see your full Sales Summary I am just guessing what could be why your Gross is more than the Total Collected.
You may need to call Square Support since I am not sure either. I thought maybe because of a Discount but that is not the case either according to my sales with a discount. My total Collected was still higher than the Gross for that day.
With the Numbers you show here I can get the numbers but now I am confused as why I can not replicate it with my sales that Your Gross Is higher than Collected. These numbers you provided are also from your Summary report, and you may need to look at Your Transactions Detail Report for the Day in Question.
Your Numbers-
Gross Sales: $ 343.79
Service Charges: $0
Returns: $0
Discounts: ($28)
Net Sales: 315.79
Tax: 23.21
Tips: $0
Fees: ($7.51)
Total Collects: $339
Your Net Total should be $331.49
The 4.79 difference is coming as below
Gross sales - Total Collected
343.79 - 339.00 = 4.79
Discounts - Tax
28 - 23.21 = 4.79
But even in my example be low if you add up my Returns and Discounts then subtract the Taxes I get the number between my Gross Sales and my Total Collected. Which for me is 113.61.
I didn't have any returns but here is the summary for the storefront
Gross Sales: $ 343.79
Service Charges: $0
Returns: $0
Discounts: ($28)
Net Sales: 315.79

Total Collects: $339
Payments
Totaled Collected: $339
Card: $250
Cash: $89

I'm trying to figure it out. I don't have gift cards.
