Point of Sale - School Lunch Programs and Invoices

I'm the food service director of a VERY SMALL non-profit school. I was wondering if there is a way to apply lunch or milk sales to student accounts. So if they buy a lunch, I could select the student then apply the lunch price or milk price. Then at the end of the month send an invoice out to the parents or if the parent prepaid, deduct it off their account. I currently do it old school with paper, then enter into excel. Trying to streamline the whole thing so less mistakes are made AND I'm not spending forever every day doing paperwork.

Here are a few thoughts.

 

One, create and customer for each kid and add the parent's credit card to it.  Then select "Use card on file" when you process the transaction.  This however is at a higher processing fee.

 

Two, send an invoice out for each transaction.  The parent can pay as they come or at the end of the month.  This could be a real mess to keep track of as you can't send out a statement with square and may have to add a third party app to keep it organized.  Not to mention the confusion to the parents.

 

Three, Use a gift card as their lunch card,  These can be reloaded and it would save you in transaction fees. however, the kid would have to remember it.  Might be some other issues I am not thinking of.

 

Four, Create a punch card that you sell to the parents.  Then you just punch the card as they go through the line.  Might not work to well if allow addons.

 

Five, find a better solution.  Might call some other small schools and see what they do.
