Effective and reliable reporting is crucial for the smooth operation of any business, and we recognize that there is always room for improvement with the reporting tools offered by Square.

Hello Everyone,

 

Thank you to everyone who participated in our Reporting Q&A! We got an overwhelming number of questions and suggestions that we will be iterating on as we continue to improve your reporting experience! We answered as many questions as we can and will continue to get to the rest of them on an ongoing basis. 

 

To wrap up, here’s a summary of a few themes I saw in the questions:

 

Improved general reporting functionality

  • Many of you have brought up the need to generate comprehensive monthly and yearly statements, as well as the ability to generate statements for your customer or vendors.

  • Flexible time ranges and comparisons against specific dates and times of the week, and further ability to define your custom business week and fiscal year boundaries. 

  • Improved export functionality by fixing existing issues, adding new export formats like Excel and PDF, and the ability to customize and streamline the data export. 

These are important features and are high on the priority of our core reporting team. 

 

Additional features for both Inventory and Appointment reporting

Our teams are working on various new reports and enhancements to existing reports in this product area. The valuable feedback we received during this event tremendously helps our teams to prioritize the work and focus on your needs.
In the meantime, I would like to share that if you have a Retail Plus subscription, you get access to Item Sales by Category through the Cost of Goods Sold report. You can find this report in Dashboard by navigating to the Reports section > Inventory Reports > Cost of Goods Sold. In this report, you can filter items using the Category filter at the top to view your top-performing items based on Quantity Sold, Total Revenue, Profit, etc. 

 

Square reporting integrations

We have received lots of feedback regarding Quickbooks integrations and what we must improve there to support your needs. Enhancements to Amaka and Google integrations, as well as more integrations in general would be a great value add.

Hi @BANTACS ! Thanks for your business.

In our Transactions report, we do have Transactions that should have the item detail. You are correct that currently we don’t have links to the underlying products that make the sale– that would be a new feature…are you thinking of a link to the Catalog item itself?

I would like to be able to quickly change the date range for reports. Changing from a single date to a Start and End date is not simple (I find it rather hit and miss in making this change).

I would also like to be able to create a custom report for our transactions, removing the columns that are not relevant to our business from the standard transaction report.

Finding the transaction report for a specific date range seem to take too many steps and is does not seem to be readily available.

 Sorry to hear you are having trouble with the date picker @MikeKnight . Maybe the manual entry option for the start and end date in the Date Range picker can be a good option for you. It is usually my go-to to select the exact time range.

Additional customization options are something we are looking to introduce. In the meantime may I ask what columns you find not relevant?

Can you please add the SKU to the transaction export? I track inventory and this is the only gap for me - or do I have to go to the Paid Retail plan for that? Currently I get around this by adding the SKU to the product name.

Also, when will AMAKA be able to map products to MYOB? I spoke to them and they said they are working on it, is this something in the pipeline from your end? The integration from Square to MYOB is almost useless to me until this is included in the integration.

And finally, not a reporting question, can you please add the Taxes - GST Checkbox to the bulk edit option - I add items via woocommerce to square plugin and it doesn't bring across the taxes so having a way to check this in bulk would be handy.

Hi @doublet ! thank you for your question.

We don’t have that on the transactions report, but we do have it on the Item Sales report. Have you tried using that? If so, can you explain further why having sku in Transactions would be more useful?


I have checked with the team and Amaka integration is still on the roadmap this year, but we don't have a specific timeline yet.

 

I will also make sure to pass your request for GST checkbox to our Retail team.

thank you Anna. I use the SKU to manually enter my sales into MYOB - in this way I can keep track of my stock/inventory. I did work out with Amaka how to map the items to MYOB Account Numbers, however I use MYOB's Inventory to control my stock. This is all driven by the SKU (Product ID in MYOB).

I just had a lookat the Item Sales Report, that doesn't give me as much detail as the transaction report - I would still have to figure out how to get cash v card sales so I can manually enter the sales into MYOB - I was thinking that all that is needed is one more field in the transaction report, that of SKU, and that would suit me fine.
Once Amaka's integration is at the item level, I believe that will work perfectly ish for me. Until then, I will be entering sales manually into my accounting system, MYOB

Is it possible to generate as part of the report a subtotal of all the "Bank" accounts as these are effectively "Available funds" while the "Current assets" represent funds already spent. This would look something like the following:

When I do an item sales report I would like to see it’s improvement on a past period whether this be last year ect. I would like to see multiple years reporting in a graph form both for items and for revenue. Both for single locations and for total revenue/items for business as a whole. 

more visual graphs would be great to get an easy picture of what is going on. Graphs for wages amounts of volume stock sold or revenue.

Thanks so much for your suggestions. In the Item sales report, you can customize the date range of the report. In the Item sales report, select the date range at the top and input your desired timeframe. We are actively working on new reports and reporting functionality, so stay tuned!

i’d like to have a way to see my top spending customers, being able to set a time frame- “monthly spend” highest to lowest order.etc

at the moment i need to select each customer individually and check there kindly spend which is very time consuming.

Hi @nyz , appreciate the feedback.
While currently limited to all time, you should be able to sort your Customer Directory by their total spend by clicking on the “Total spend” header. By default, the initial click will sort this column in descending order based on their total spend. That said, we’re actively exploring improvements / enhancements to customer reporting and insights to make functionality like this more accessible. Out of curiosity, what do you use this information for today?

Hi would love to have an option to be able to push emails to customers to leave reviews or have a review link. To be able to review the entire store instead of individual items would be handy too. Cheers

I use square only for the ability to receive card payments, love that there is no monthly fee, and that the fees on transaction are not outrageous.  The ability to attach links to invoices is also very good.

 

I would really like to be able to very simply produce a basic statement the same as a bank statement.

 

For me because I am only using this to be able to receive the occasional payment all of the reporting tools that exist of basically no use but the very simple report that seems impossible to generate without a long process isn't available.

 

Include this and the product is pretty much exactly what I want.

Hi! I can see how too many reporting tools can be overwhelming when you need a simple statement. I can offer a couple of recommendations.
1. Monthly GST invoice captures the total payments taken, fees, and GST tax on fees. You can read this article on how to download this PDF invoice https://squareup.com/help/au/en/article/7858-square-tax-reporting-and-gst-invoices-faq
2. When using Sales Summary report, in the date range selector choose last month. All our reports are printer-friendly, so you can use Web browser print option to get a printed copy of your statement.
