New Team Member who uses Square Payroll with another Employer? "email already in use"

We hired a part-time employee who also works part-time for an employer who uses Square Payroll. When trying to "Add team member" Square shows the error "Email already in use."

Square's supports only solution to this is "your Employee needs to contact the previous Manager or Boss that can delete her profile from the account, so you can use the information in your account." - which is outrageously unacceptable.

With over 200k employees using Square Payroll and the fluid hiring and employment nature of retail, food service, and hospitality industries, I'm sure this happens all the time and there needs to be a solution.

Hey there @NH2023.  You were given bad information, I’m afraid, and there is already a solution.

The employee in question just needs to sign into their existing Square Team account.  They will be given the option to work with whatever active companies that are employed by.  They will also have the ability to get to historical data in Square Payroll for previous employers.  In other words, if an employee has worked or is working for three employers, all three will be available in their one account, though if they are working only for you now, only their employment with you will be the active one.

@NH2023 I didn’t say this but should.  The employee does NOT need to create a new Square account.  Instead of doing this, they need only to sign into their existing one.

Hello @NH2023 !

Wanted to jump in here and thank @TheRealChipA for sharing the correct info. We are following up on your case with support to ensure advocates have up-to-date information on this topic.

If you need more information about the Team app your team members will be using to manage their accounts, you can review this article

Wanted to clarify here, since you mention getting an error message: While an employee can be registered under the same email with multiple employers and manage all using the same credentials in the Team app, if for any reason, a team member profile with that email already exists in your Square account, you won't be able to create a second profile using the same email.

Hope this helps!

And thank you for sharing your experience and allowing us to provide the correct information.
