We do a lot of pre-orders and have had issues with paper tracking in the past. I decided to try setting up an online store so I could track the orders easier. Our process is to open up the items for ordering, submit totals to our supplier and then distribute the product when it comes in. The time between placing an order and getting the finished product could take anywhere from 2-6 months depending on what it is.
I have the store set to pickup only and auto accept orders. Do I have to worry about these orders getting automatically cancelled and refunded if I don't touch them for that time frame?
Unfortunately, yes. The longest you can do a pickup time for is 5 days. Anything else and the order is automatically cancelled and the money returned to the customer.
I think you may be better off keeping track of your preorders with the Invoicing side of things. You can get payment immediately via keying in card numbers. The invoices stay in Square permanently. Check out the Invoicing Howto for more help!
For anyone else who may read this with the same issue I found that you can leave items in a non-completed status for at least a couple months, I assume much longer. If you set the item to pickup only and auto accept orders it will sit in the queue waiting for you to click completed. I created a test order and let it sit there while I clicked complete on the real orders so I was sure I wouldn't lose them. It was still sitting there about two months later waiting for me to complete it.
This will work for me. It would be even better if we could mark individual items as completed as an order of different items might be ready and picked up in stages.
