Will team permissions work with multiple devices?

We are a nonprofit organization with multiple volunteers who will need to process payments on their own devices at occasional fundraisers, but do not need access to any other features or settings.  Logging in with a device code gives access to admin settings, including the bank account, so we don't want to use that.  Articles on Team Permissions seem to limit them to a shared device.  We don't need to track sales by person/device and don't need time tracking.

Can we (1) use the free Team Management feature, (2) create only one Team Member, e.g. "Volunteer" with limited access, and (3) create one Team Passcode that all volunteers could use on their own devices without registering the device?

If that's possible, would only one be able to log in at a time, in which case, could we create generic "Volunteer 1" "Volunteer 2" etc., all with the same Team Permissions?

I think I figured it out! (my own question) using Team features and not Device codes. The main difference from my first proposal is that each volunteer will be set up as a Team Member, which is fine for us.

 

The steps I used:

Enable Team Permissions

Check the button for Access Mobile Point of Sale, plus other permissions on list as needed

Create a Team Member (first/last name & email address, title)

While in Team Member setup, click button to Set up permissions

Select Role: Team Permissions

That generated an email to the member with an invitation to create a password and download the POS app.

When they logged in to POS, they were denied access to everything in menu that was not checked when Team Permissions was set up.

(The device they were on was not added to Devices, so they could apparently log in from anywhere.)

You are spot on with the answer you found! The Team Permission role will be free to apply to as many employees as you like, as long as they are all under that original set of Team Permissions. As you mentioned above, this will assign a general POS passcode for each team member to use. This passcode will set retrictions for what your employees can see via the shared POS device.

Thanks, Joe.  If I understand it correctly, your description of my initial idea to use a single passcode for everyone, works with a "shared app" (I took that to mean everyone using the same tablet or phone).  My situation was a little different in that we're not all using the same device - each volunteer will use their own device/phone.  But they can all use the same limited permissions on the free plan, and if I set them up as team members, they can log into the app on their own phone with their email address and a passcode that they create for themselves.

If I'm missing something, please clarify - I'm new at this!

Hi @HCCB! Thanks so much for clarifying that for me. This totally makes sense.

 

I think we are on the same page now 😇. You can use the free version of Team Management to assign each employee their own individual login that they can use to take payments with their own device.

 

Whenever you add an email to their Team Member profile, this will automatically send them an invite to create their own password for their profile. They can use this email and password combo on their mobile device to take payments underneath the umbrella of your business.

 

All of the details surrounding Team Management have recently changed, so we are all new to this! Please let me know if you have any additional questions. We are here to help!
