When does Square draft from customers?

When does Square draft funds from customer bank accounts? I am now the director at a camp, and I'm not in charge of our financials. I logged into Square the other day and noticed a very large deposit pending. I didn't think much about it, but I came back today and it was still there. I had a chat with our office manager and it looks like someone set up a 2nd location, but they didn't set up our bank account with it. We've had sales accumulating now since the beginning of 2022 that have gone unnoticed. To be fair, my office manager almost exclusively works out of Quickbooks, so she doesn't see those sales come through on Square.

My question is, is that money sitting with Square, or am I about to have a bunch of angry customers that could potentially be charged hundreds of dollars from back payments?

LOL...glad I could help! I'm definitely not new to the Square forum world, as my question might suggest, but I'm a bit rusty with the ins and outs of all things Square.  

Luckily we already had a verified account attached to the other location. I attached it earlier today. Good for us! Not so great for my office manager who has to reconcile all of this.

OMG, @ACAcatering.  This is such a refreshing change from the usual Square deposit griping and kvetching that I’m jumping on it immediately!

 

Once Square submits the transaction to our customer’s card issuer, and they approve that transaction, it is in your account.  Usually it is transferred to your bank account, but in your case since there wasn’t one, it is just sitting there waiting for you to tell Square what to do with it.  Your customers have already been charged and paid.  All that remains is for you to tell Square where to send “your windfall.”

 

Go to your dashboard -> Account & Settings -> Business information -> Bank accounts and set up the account that should receive the funds.  Then, after the account is verified, go to dashboard -> Balance -> Locations and select the location and Transfer the funds to that account.

 

Your customers won’t know that money has been sitting there for months.  They won’t care.  The money was already settled with Square who has been holding if for you.
