What Are My Options for Letting Someone Use Square at a Separate Event?

Our small nonprofit organization has a conflict with two fundraising evetns happening the same day and time on 10/18/25. Normaly we use only the org phone to receive payments, now I will need to add a second phone number for the volunteer working on a second event and I can't find instructions to do it or if it is event possible, any help?

So, you have three different options depending on your privacy and reporting preferences:

Option 1: Share your Square login details 

This is the simplest option. You can ask the individual to download the Square Point of Sale app on their mobile device and share your account login credentials with them. They’ll be able to sign in and process payments immediately.

Important: With this method, they will have full access to your account and be able to view all data within the app. This might be fine if the person is a trusted member of your organisation, but it’s something you should carefully consider.

Option 2: Add a team member to your Square account

This option adds privacy and security. You can add a team member within your Square Dashboard and assign specific permission levels. They will then log into the app with their own credentials.

By setting permission levels, you control what they can see and do, such as restricting access to sensitive information like your Balance or Transactions page. This option protects your account password and limits exposure to sensitive data.

Option 3: Set up a separate location for each fundraiser (optional)

If you want to track payments separately for multiple fundraisers, and have all payments funnel into the same bank account, you can create a second location in your Square account named after your second fundraiser.

Have the person processing payments for that fundraiser sign in under that location (when you sign into the Square app for the first time, you will be prompted to select the relevant location before processing payments). This will allow you to easily filter and report sales by location later on.

If separate tracking isn’t necessary, you can simply stick with your single location without creating any additional ones.

Just to clarify, are you looking to set someone up on their own device using your existing Square account so they can process payments at the other event?

Or, are you hoping to create a separate location within your Square account to keep sales from both fundraisers separate? Also, are both fundraisers part of the same business or organisation you initially registered with Square?

Hi Laurie,

 

Thank you for the reply. It is the first option, two differnt fund raising the same day but different locations. I will be in one location using what is already set up in my phone, but for the other location to be able to receive payments, we need to add a second perso's phone in the account to be able to receive payments there, all must be connected to the same organization's bank account.
