QR ordering Set up

Hi everyone,

I'm hoping someone can help as I'm hitting a wall setting up QR code table ordering for our cafe. We use Square for Restaurants and recently upgraded to Square Online Plus to enable Order & Pay at the table.

Our menus (Breakfast, Lunch, Drinks, Bakes) are built, the website is published, and the sales channels/locations are assigned. However, the items appearing on the live QR menu seem completely random:

  • Some drinks show up, but others don't.

  • Some food items show up, while others either don't display at all or show in red as "Out of stock" (even though they are available on our POS till in the cafe).

Here is what I have already verified and configured:

  1. Stock tracking: All cafe/prepared food items have inventory tracking toggled OFF (or set to unavailable/not tracked).

  2. Pricing: All variations have an active selling price set (none are blank or £0.00).

  3. Visibility & Channels: Items and categories are set to Visible, and the Square Online channel and physical location are both ticked.

  4. Menus vs Categories: Items are assigned to active menu groups under the Menus tab in Square for Restaurants.

  5. Site Publishing: The site has been republished multiple times and tested in private/incognito browsing windows.

Despite this, items like our jacket potatoes still show "Out of stock" on the QR ordering link, and several breakfast dishes aren't appearing under their categories at all.

Has anyone run into this selective hiding / out-of-stock issue between Square for Restaurants and Square Online? Is there a specific backend sync trigger, fulfillment hour cutoff, or channel override I might be missing?
