Hi I'm running into the following issues with square and am curious if 1) are there any workarounds, and 2) how can I get this feedback to the dev team to work on these? I can't be the only one running into these problems. Thanks!!
1) tracking active orders - My business has delivery orders. The process to log a delivery order, and then show up in Active orders works well in Standard mode. However, when in Appointment mode, I cannot see any active orders. Also, when I place a delivery order while in Appointments mode, it doesn't show up at all in Standard mode - it automatically gets marked as completed. When I'm in retail mode, I've also seen some instances where not all of my active orders show up.
Our business offers retail items & services which is why I need to have our registers in Appointments mode to check people out. We also inserted our GTINs into the SKU field so that we can use the registers scanner at checkout. You might say, just move to Standard mode to do the delivery...the problem is, the register takes 2-3 minutes to switch modes, which is not feasible when interacting with customers. This has to be a bug but Square has not acknowledged that.
2) Modifying POs - it's not unusual for us to receive a PO from a vendor with extra products, products not on the original PO (they sometimes require a separate form for special products), and missing products. We also get things in at a different price than what we thought when we placed the order.
You can go edit a purchase order; HOWEVER, you can't resize the columns to see the full item name, and you can't sort the columns, so finding the specific product you need to edit is impossible when viewing a large PO. I have been using Square API for some time and it works great for some things. It does not seem that you can use the API to create or edit a purchase order. Don't understand why.
3) Order decimals on a PO. We have to order certain products by the ton from our vendor. Many times, we do not order exactly one ton or two tons. It might be .75 tons. Square's POs do not allow you to enter a decimal on a PO. We can charge out tons with decimals. The PO process is what doesn't work.
4) Printing labels - Labels only have a certain number of characters that appear. We have many products where the beginning of the names are the same, so when the ending characters are cut off the label, you can't tell what product it is exactly.
5) Square automatically creating variations - We have instances where we may get a similar/replacement product from multiple vendors. The same basic product, same size, but different skus. So we will keep the item name the same but the GTIN/SKU will be different. Square is automatically making these "variations" of the same item. I do NOT want this to happen. I want everything separate. One reason is because with the Square API, I want to be able to archive products.... But I cannot use the API to archive a variation, so now I need to go do this manually.
6) Appointments - First, I would love the ability to view more details about the appointment on the calendar view, or maybe when I hover over the appointment. If we want to see the dog getting grooming, for example, I have to click into the appointment to view the customer details. Our groomers want to be able to see their day at a glance. What are the sizes of dogs coming in for grooming so I can get a better idea on timing? Clicking into each appointment is extra unnecessary steps.
Also, I would love some help to customize calendar availability. One groomer only takes small dogs for hour long appointments, back to back...that's easy! One groomer handles larger dogs, and she may have two dogs dropoff at the same time, or close to, so she can bathe one, start on the cut, bathe another, let it dry, switch back and forth.... Trying to maximize that downtime in the services.
And with the different schedules for the groomers, my retail associates need to be able to see where each groomer has availability because they are the ones actually scheduling the appointments. No good way to do this right now, at least that I'm aware of.
7) Scheduling price updates - I would like to take advantage of this, but similar to the PO issues described above, I can't resize columns to view the full product names, so this is useless to us. Seems like a simple UI feature that should be available.
8 ) Customer credits - customers may over pay an invoice, receive a future credit, or prepay for a future shipment. The process to do this right now is to issue a customer a gift card, discount it to $0, but then they get the e gift card associated with their customer account. We have a population of our customers that do not have emails or phone numbers - amish customers, so to issue them gift cards on their customer accounts, I am using fake emails. Long process with lots of unnecessary steps. Is there a better way to give customers credit on their account??
On point 5, the grouping comes from the shared name. Square expects every item to have a unique name, so two products with the same name end up as one item with two variations. Give each vendor's version its own name, for example the product name plus the vendor, and they stay separate items with their own SKU and GTIN.
That also helps with archiving. Archiving an item archives all of its variations, so once each vendor's version is its own item, archiving it takes only that product off sale. You can do it in bulk without the API too. Export the library, change the Archived column from N to Y on the rows you want to retire, and import the file again from Actions > Import Library.

Thank you for the response. I was hoping there might be some work around but the only way currently would be unique names. Not ideal but oh well. I just wish there was a way to stop the automatic grouping
On #6, since you already use the API: the calendar itself can't show more per appointment, but a small "day at a glance" page can. It pulls each groomer's bookings for the day from the Bookings API and lays them out side by side with the details your team needs, for example the dog's size and breed kept on the customer profile as a custom attribute. Your retail associates can open the same page to see where each groomer has open time (the API's availability search), so booking a large dog into the right gap stops being guesswork.
For the groomer who works two dogs at once, the Square-side piece is processing time on her large-dog services: block the bath and cut time, and set the drying stretch as processing time, so the calendar lets a second dog book into that window.
How many groomers do you have, and do you keep dog size anywhere in Square today?
Day at a glance page is a good idea. This would be a dedicated web page we create within our square online site? And then you’re suggesting to create some sort of automation to pull the appointment detail, combine with customer data from their profile, and publish to this web page?
we have four groomers on staff. One does a standard booking of appointments - 1 hour appointments, all back to back to back. No overlapping time so that is simple. The others may differ their approach m, including the overlapping appointments like I mentioned. I’ll have to get a real example of her day and post it here for you to see, if you wouldn’t mind!
Yes, please post a real day. Drop-off times, dog sizes and how long each part takes are all I need; leave client names out since this is public.
To your questions: it wouldn't live on your Square Online site. That site is public and this page shows customer details, so it would be a small private page your team opens on the grooming room tablet or at the register, behind a login. Behind it, yes, a small automation does what you described: every few minutes it pulls today's bookings for each groomer, matches each one to the customer profile for the dog's name, size and breed, and lays them out in one column per groomer. Overlapping appointments sit side by side in that groomer's column, so the two-dogs-at-once days stay readable. The associates' view adds each groomer's open gaps, so they can see where a large dog fits before they book it.
One thing worth deciding early is where dog size lives. If it isn't in Square yet, a "Dog size" custom field on the customer profile is the cleanest place, because it then shows up at checkout and in the directory too, not just on this page.
On the tax-exempt customers: as far as I know there's still no customer-level setting for that, so it's worth adding your vote to the existing "Tax Exempt Customers" feature request.
One other thing that surfaced recently… really wish there was a way to mark a customer as non taxable, not only on items. We have multiple customers that are non taxable because they are a dog breeder for example, but this same dog food is taxable to pretty much every other customer.
