Search Customer by Reference ID

Search Customer by Reference ID

Can you make the customer reference ID searchable? We assign each customer profile a unique ID and that makes searching them so much easier than going by First Name, Last Name except that these ID's aren't searchable.

Please add this functionality.

This idea seems to have been kicked around in the forums from at least 2019. It's a shame this request hasn't gained more traction because it seems clear that it's a popular suggestion.

Thanks for making the initial request, acscoutshop. Fingers crossed this gets implemented soon. Seems like a pretty straightforward feature to add.

The field is necessary (it is how I and many others track unique customers across platforms). However, without the ability to search or even sort the customer list by Reference ID (another feature that I suspect would be incredibly easy to implement), I have to visually scan down my list to find the gaps where I haven't entered a new customer's ID. I also find myself using control+f (cmd+f), which works on a page level but shouldn't be necessary given that this is a field in a database and thus should be searchable!

Clearly, Square decided this field was important enough to include but shouldn't be searchable. It is very weird to me that they made a conscious choice to exclude it from being searchable. I'd love to know: in what circumstance(s) would it be problematic for this field to be included in search results?

Hi @acscoutshop

That’s an excellent feature request. We appreciate you sharing your business use case and why it would be valuable for you. If you know of any fellow Seller Community members who would like to see this built out as well, feel free to tag them in your post so they can share their thoughts as well! The more sellers chime in to the request, the more likely it is to catch our product team's eye.

Thank you for adding your voice @nobe and @PGym!

This is a feature that we desperately need. We are using Square for Restaurants.

Use case:

Most of our customers are also Members of our club. Each Member is assigned a Member ID # that is printed as a barcode on a membership card. We would also add this Membership number as the customer's Reference ID in the Square database.

Our end goal is to implement "Customer Card on File" payments, but we want to be able to scan the customer's membership card to look them up in the Square for Restaurants POS.

Hi @acscoutshop @PGym @nobe @sclhtim

We now have a feature in beta that allows you to search based on reference ID, as well as return results on your custom fields. If you would like to test it out and let us know what you think, we’d love to open this functionality up to you. Please let me know and we can turn it on for you. Looking forward to hearing back from you.

Thanks so much!

@srutz_SQ I would love to test it out!

We are going live with our Customer Card on File payments next week, so if this works as I hope, it will really help close a gap in functionality.

Awesome, thanks @sclhtim. We just turned that on for you. Feel free to email me with any feedback as you begin to use it too ([email protected]).

Based on the use case you mentioned, it may also be helpful to look into scanning QR codes/barcodes to add customers to the sale. You can read more on that feature here: https://squareup.com/help/us/en/article/7387-identify-customers-at-your-counter-with-qr-codes

@sclhtim ;

I just entered myelf as a test customer without being in the Beta test I believe.  I created a Refrence ID of both letters and numbers.  When I scan the refrence ID as a Barcode, I popped up as a customer, but when I typed in the Refrence ID, nothing showed up.  You can test this out if you set up a test account with a refrence ID and then use free software to make a barcode to test with your scanning device.  Since I use a Square Stand, the cameras can be enabled as a scanner for 1D and QR codes, I just am not sure what type of Barcodes the Ipad cameras read nativly.

Thank you for letting me test the feature. I will send a follow-up email to this comment as well.

I just tested out searching by Reference ID and this was my experience:

After adding a drink to my order and going to the checkout screen, I selected "Card on File" which brings up a customer search feature. If I type my Reference ID into the search bar, it pulls my account up straight away (perfect!). BUT, if I try and scan a barcode, nothing happens—the search field is not populated by the scan.

Also, @Candlestore the scanning to add customers to the sale is our fallback option if searching by Reference ID is not an option. The limitation we found when testing is that customers can only be added to a sale prior to checkout. So, if I had entered the checkout screen before the card was scanned, I would have to 1) back out of checkout, 2) type in my passcode to confirm, 3) scan the card, and then 4) reenter checkout. That's a lot of extra steps.

@srutz_SQ I am adding loyalty cards to our Square loyalty. I am making unique barcodes and entering the barcode info in the reference ID.  This is what I'm running into. I can tap on the barcode scanner icon on the POS and it will read the card and pull up the customer, but if I scan it with my scanner it comes back with customer not found. Any ideas?
