Inventory/order receiving

Something that would be helpful to us in the liquor business is to be able to enter things exactly as they come in from the distributor. But we do not sell to the customer in that same way. We sometimes sell by singles or grouped in a package.

the ability to enter that we got one case of six four packs of beer, but the system knows based off the initial product entry that one case is six sellable units. This would allow us to enter the cost exactly off the invoice. Then the system could factor cost automatically based upon the parameters set for that product then allow us to add any additional ways we sell it sell and adjust price.

but the main purpose of this is to maintain accurate inventory, so if we sold a six pack it would know to remove that many, but if we also sold by a single, it would know to only remove from the case we entered originally.

this may be too complex for the system, but I know many retailers buy in bulk, and we pay the bulk price. If I could enter the bulk price, quantity in that bulk set, if it was sold in other forms like, singles, packs, etc, the system would fact cost for each option, and adjust inventory based on which way it was sold.

Hello @Adamscottsmith ,

Thanks for reaching out again. We do have a feature on Square Retail Plus called Stocked Conversion. That will allow you to track inventory whether in single or in groups. I am hoping this is what you were looking for. If not please let me know.

As always we appreciate the input!

@MayaP that is close but it does not track the inventory correctly. Each variation needs it own stock to my understanding.

I’ll use a case of wine as an example.

id like to be able to enter that we got 3 cases of this particular wine at the cost of $100 each. Based on the information I put into the item, like that a full case is 12, 6, 4, 2, or 1 bottles or units. This would be entered with the vendor information like sku and cost.

then it would know that if I scanned the bottle barcode I sold one item and would deduct the one from the total of 36 bottles based on the example of 3 cases at $100 each. Then if I scanned the barcode on the case it would know that I sold a case of 12 and deduct that from the count leaving my count to 23 bottles now.

ideally it would know the cost is $100 a case and our markup for wine, as an easy example is 10%. So since we sold one bottle the cost was $8.33 plus the 10% of $0.83 making the total retail price $9.16. Or for the case the retail would be $110.

this is kind of blending two of my ideas/requests, but even if we have to enter the cost and price, having the system know that it’s coming from the same inventory quantity regardless of how it is sold.

this is a bad example of what I mean, but it only shows inventory for each item under the variations.

our variations would be for example:

Jack Daniel’s 50ML

Enter the first variation the way we receive and order the item which is by the case.

JD 50ML Case - 1 received which has (120 bottles of 50mls)

so how we sell them is by a sleeve of 10 or a single. So the next variations would be:

JD 50ML 10 PACK - in the case there is 12 packs of 10

and

JD 50ML SINGLE - 120 in the case.

if I sell a single and a sleeve, it takes the inventory from each individual variation, not as a group like the bottle vs glass example.

so am I doing something wrong, or is this a feature that doesn’t work that way in the retail plus version?

Actually I think I may have figured it out. I don’t really understand the decimal part yet but if this can track it the way it comes from our vendor that is a huge mind blower for me. Going to try it with one item we sell a lot of and see how it works out.

I guess I need help with understanding how to set the units up correctly. Because I need to be able to receive by any unit easily, as we sometimes buy things by the bottle and by the case for example some wine we only buy 2 or 3 at a time, most others we buy by the case.

I don’t want my employee who enters the invoices to be confused by having to having the unit type so I guess my question, or recommendations is to be able to edit or receive stock by any unit.

so here it only lets me click on the top one to receive inventory, but if I only got one of those being able to click the other variation to receive just one of the units like a bottle would be nice.

@Adamscottsmith ,

We are doing this with beer right now. When I get a case in, I divide the cost by 24. Then set up Units for single can and 4 pack (or 6 pack, 12 pack, etc). When we scan a barcode at the register, a screen pops up asking if we are selling a single or a pack. If we select pack, then 4 cans come out of inventory. AND.. the best part... if it's a wrapped 4 pack, the UPC will be different. So scanning the pack will pop up only the pack price, but still take out 4 cans from inventory.

Not sure if that all made sense, but I'm happy to help if you need it.
