Returning items without a receipt

We need a simple way to return an item without a customer receipt. As of now, we have to know the customer transaction. Sometimes, this simply isn't possible.

There are other options to look up the customer's transaction to make those returns. Normally, you can use the last 4 digits of the card used for the purchase. 

 

Another option would be to look up the specific customer. This one is tricky if you don't save the customer's information at the time of initial checkout. 

 

Do you have issues when trying to use these? Or are you looking for another option? 

 

I want to get some more insight from you, so our Product Team knows what options you're looking for. 

Thanks for the reply, Kassi! I don't have an issue when looking up a return with a credit card. The problem comes when a customer purchases with cash. We don't keep track of specific customers. And sometimes, the customer doesn't know what credit card they used. We want a simple way to return inventory without associating it with a specific charge/person.

I do agree having the ability to return individual items without pulling up the old receipt is super useful in retail.


Example: Susan buys 10 items in 3 separate transactions and returns 3 of them (1 from each of the 3 transactions) but wants to buy other stuff. You can't currently process more than one "receipt" return per transaction, you would have to return each item separately and then process the exchange on the last return.

 

I currently use a workaround of figuring how much they paid for the item being returned, discounting the new items by the amount, and then receiving the inventory afterwards.

 

There should be a simple return button, scan the returns, then either refund or exchange for other merchandise.

 

I understand why Square currently links returns to the original receipts however it should be up to the business owners whether to require the receipt. Cash transactions and also multiple returns from multiple receipts makes Square's system less optimal.

 

This has been an issue for YEARS now!!!

 

As a small, customer-focused retailer, I need the ability to provide returns (usually gifts) in exchange for store credit – even when we do NOT have a receipt or know the original customer's info. I can't just tell these customers who didn't receive their gift receipt from the gift giver to go screw.

Please, we just need a simple way to process returns without a receipt.

@Kassi This work around is not functional if you cannot locate the transaction. 

There are multiple threads listed for people requesting to process refunds without a receipt or transaction record. Several have been marked as "work arounds" which are really not viable. There are multiple reasons outlined in the thread that highlight why a retailer may need to provide a refund without reconciling it against a receipt or a transaction, and ultimately, that is the responsibility of the retailer and Square should not limit the clients ability to do these. 

Processing a refund without a receipt should only require two things: Authority from a person allowed to process the transaction, and the data of a product to refund- whether it is a receipt, or simply looking up an item. There is many reasons not to reconcile in the register, and these can always be reconciled later in accounting.
