Customer Accounts & Credits

Customer Accounts & Credits

We need a way to keep track of customer accounts when they are in credit for services. So if they have overpaid an invoice, or paid something in advance we can keep track in square. Then when being charged for something the credit in their account can be attributed to the new invoice.

For example :-

John is invoiced for $110 for service A, he puts $120 in the bank so we mark that as payment received and his account then shows $10 credit. When we next invoice John for $110 the $10 is deducted and he is sent an invoice for $100.

Currently, we have to keep track in another system and it is double handling of the information.

Customer statements would also be useful, and I have added a like to that request.

Hi, @KelJopuka! 👋

Nice to see you popping up more around the Seller Community lately to pass on your feedback - we're always interested in learning new ways to improve our products based on feedback like this.

I recently answered a similar question posted by another Seller recently here, which indicates to me that there are most likely other Australian Sellers out there who would benefit from the introduction of a feature like this.

Currently, Square doesn't support the ability to apply store credit for customers outside of the option to refund payments to a gift card. While this is a great option for solving the problem of store credit, it won't work as a solution for invoices as you cannot use a gift card to make a payment for an invoice.

I'd be more than happy to flag this to our Product Team for now but as it stands, this is not something that is currently on our radar. Should this change in future, we'll be sure to circle back to you on this thread. 👍

Thanks for adding your vote for this request, @SapphireWetwork!

I don't have further news to share at this point but should this change, we'll be sure to make an announcement here.

Hey @Laurie_,

We are also wanting this feature, and for us, adding a e-gift card to a customer account would be ok, however with square now introducing fees for the e-gift cards, would we be paying that fee to issue a 'credit' to a customer account. i.e. we issue a $25 egift card as a credit to a customer, but no money is actually exchanged (we are not using this for refunds, just more of a 'bonus' reward), do we still pay 2.5% on the $25 loaded onto the gift card?

thanks,

Daniel

You've raised a really valid point here, @Traderandco!

If you're using Gift Cards as a workaround for applying customer credit, you will now need to consider the 2.5% load fee as the merchant. For more details on Gift Card pricing, please refer to this page.

Alternatively, you could explore setting up a Loyalty Program where customers receive a dollar discount reward upon reaching a certain level of loyalty points. However, it's important to note that this is a paid feature at the moment. You'd need to assess the value these credits add to your business and decide whether investing in this feature would amplify that value, or if the 2.5% load fee would work out to be more cost-effective in the long term.
