On the square register, we enter notes/comments for specific items sold.
for example we have an Item - Hand Lotion. But we may enter the specific Scent (e.g. Sandalwood) in the item Comment/note.
I want to be able to list the Items sold, and show the comment for each sale of that item.
Is there a way to add that to a detailed Item Sales report?
@InDesign There is no direct way to pull the notes over into a built in report with square. The best way to do this would be to set up a modifier set with all of the scents you have and then just apply this to the item as needed to designate and then you can pull a modifier sales report.
Now, I think the information would be available in a detailed transaction report, but you would pulling a spreadsheet with all of the transactions in a .csv format. You would have to build a macro to sort and count all of the items for a specific note. The problem I see with this is the time it would take to set up, and what if someone misspells a word? It wouldn't get counted. Notes are great for one time instructions, but setting up a bulk modifier key would be so much easier for you. For really detailed tracking each lotion would have all of the scents as variations. But the modifier sales report would be the way I would go.
I agree with Donnie-M on how you should set this up.
If you are using a Scanner and each Item has a unique Barcode I would recommend having
Item Name - Hand Lotion
Variation - Sandalwood and then have the SKU for Sandalwood here to track which Scents sell better.
This is basically how we have ours set up.
Now if you make your own Hand lotions you could let square assign a SKU if you have Square for Retail, or make up your own SKU like HLsanwoo. Or give each scent a number and use HL123456 as a SKU HL for Hand Lotion then the scent code of 123456. If you use Square for printing labels and Barcodes keep this to about 8 to 12 characters or the Barcodes get too long and may print off the label.
Now if you do not have a Scanner you can still fill in the SKU of HLsandalwood, then on the point of sale at the Search area type in hlsan... and the items that have this SKU or Item name will start populating as you type in the search from area.
Last way to do this is you could have each variation named the Scent.... then the SKU be all the same "Hand Lotion" for example. then when an employee types in Hand Lotion to search, a pop up will appear giving you a list of all items with Hand Lotion as the SKU.
Here is a Search for "Lotion" and as you can see the Screen now shows a list of all my Lotions that are under the Item Name of Body Lotions in the Category Lotions to choose from. I do not know if the list was Populated by Lotion in the Item Name or Lotion from the Category. Since we have 18 different Lotions to choose from the screen can scroll down for others. We use a Scanner and the SKU to Identify each Item and to ad it to our Checkout Cart at the POS. Then on the right side of the below image it shows Add to cart. This will track each different scent Lotion without using a Scanner.
Now on the computer for my Items I have Body Lotion as the Item with each Scent as a Variation and here is what it looks like:
By having the Lotions setup like this, I can scan the barcode on the Lotion and in my Checkout it populates the Correct Scent of Lotion for knowing when to order and which ones to order. But if I did not have a Scanner or the Barcode is unreadable I can still Search for Lotion and get a Screen to add a certain scented lotion to the Cart.
All these will be able to get you the Detailed Report of the Items sold. Which way works best is up to you. As you see I use the Item Name Body Lotions and Variations of the Scent.
