Essential Reporting Features Missing in Square Appointments - PDF Export/Email & Better Print Layout

I'm posting because I'm consistently running into major issues with the reporting functionality in Square Appointments. While it's great for bookings, the reporting features feel very basic and lack essential capabilities that are pretty standard for business software today.

Specifically, two major pain points are:

  1. No direct PDF export or email with PDF: This is a huge problem for me. When I need to review reports, send them to my accountant, or simply keep a clean digital record, there's no simple "Export to PDF" or "Email PDF" option. I have to go through convoluted workarounds like printing to PDF from my browser, which is inefficient and often results in poorly formatted documents.
  2. Printouts are messy and disorganized: When I do try to print reports, the formatting is often all over the place. It's not a clean, professional printout, which makes it difficult to use for record-keeping or sharing.

For a platform like Square that handles so much of our business, having robust and easily accessible reporting is crucial. These limitations make it harder to analyze business performance efficiently and maintain proper records.

Are others experiencing similar frustrations with Square Appointments reporting? Has anyone found effective workarounds that produce clean PDF reports?

I'd love to see Square prioritize improvements in this area, including:

  • A direct "Export to PDF" button for all reports.
  • The ability to email reports directly as PDF attachments.
  • Improved print layouts that are clean, organized, and professional.

I agree with @mitin that the reports in Square Appointments don't really meet the standards of other platforms (even other Square tools). There's so much data associated to an Appointment record, and we can only filter on Service and/or Team Member and we can't customize any columns! We are given no export options for either formatted reports or unformatted data extraction. It just seems like a huge waste when there is so much more we could get out of the data that's already there.

 

Just a couple of examples of data that isn't reportable:

  • Does running a report based on the "booked by" fill an immediate need for me? No, but it might give me some insights into my operations.
  • Maybe there's interesting trends in my clients with reoccurring appointments, I'd like to mine that data and see.  
  • How many appointments has Employee X applied a Discount to this month?

Hi @anniemcg, it’s incredibly frustrating that we pay for this platform and yet, basic functionality is missing. I’ve tried reaching out to Square support, but I don’t see any value in it. I’ve also escalated to the sales team, but after spending countless hours on the forums and dealing with Square, their response to everything is that it’s a “feature request.” Even the very basic things. It would be fine if they actually implemented these things, but I’ve seen feature requests open for almost a decade for something very important, and no progress has been made nor any updates provided from Square.

 

I’m honestly done. I’ve spent countless hours on Square implementation and spent money on the hardware. So, I’ll just have to take my losses when I can afford to and switch to an alternate platform.
