Areyou missing transactions in your team and item sales reports?

I am comparing the cash receipts to the Square reports.  A few weeks ago when we noticed the cash receipts and deposits were much higher than the totals reported in Square. 

Square support says it is related to the time frame of the reports. We have 3 shifts

11pm to 7am 

7am to 3pm and

3pm to 11pm    We are open 24/7 all year, we do not close.

Support said the transactions are being recorded on the previous day (11pm to 7am shift)  but we are noticing the Square report is sporadically wrong on all 3 shifts including the shifts that fall within one day.  Example in one shift a team member on the day shift collected and deposited $1200 in cash but Square only showed $400 in sales total for her shift.  Any ideas???

It’s difficult to pinpoint the exact cause without reviewing your specific reports, but based on what you’ve shared, it’s likely that the discrepancies are related to how your business operates 24/7, because Square groups and sends payments based on the time you choose to close your business each day.

In situations like this, transactions from late-night or overnight shifts can sometimes be recorded on the previous day due to the lack of a defined "end of day."

 

To help resolve this, we recommend setting up a close of day time that aligns with your shifts.

 

Customizing your close of day is ideal for businesses that stay open after 5 PM PT/8 PM ET (or your time zone’s equivalent). If you choose a close of day time after 5 PM PT/8 PM ET (or your time zone’s equivalent), your transfer is sent according to the transfer type you’ve selected for a specific day. It’s recommended that you set your close of day one hour after your actual closing time to provide a window for last-minute sales.

 

You can set a custom close of day time for each day of the week from your Square Dashboard.

  1. Sign in to your Square Dashboard, then go to Account & settings > Business information > Transfers.

  2. Choose a day of the week and set your time zone and your close of day time. 

  3. Apply these settings to the rest of the week.

  4. Select Save.
