Team scheduler

I must be doing something wrong, but it seems to me the schedule feature is backwards.

I simply want a schedule with all the shifts on it and then move people into those spots.

What I think I have to do is find times to fit people

A simple scheduler with the self created shifts down one column and the days of the week across would make this a lot easier to use. lthen I could simply put people in the spots, not find times for the people.

I hope I have been doing this wrong and there is a simpler way.

Hey @bobwisecarver.  So you can do either sort of scheduling.  You just have to keep an open mind about how to accomplish your goals.  What you see is not backwards, but it can be difficult to figure out the first time or two.

First of all, I’m going to recommend that you use the following guideline when scheduling.

  • Don’t try to do big-picture scheduling for the week on a mobile device, or even on a tablet.  This is because mobile devices have limited screen real-estate and are best for quick changes to an already published schedule.  Also, tablet browsers have some limitations over laptop/desktop browsers when it comes to moving shifts around.

Now, if you go to your dashboard > Staff > Scheduling > Schedule, you’ll see that the top line in the “All team members” view is Open shifts.  You can use this to add shifts for each job each day.  Once you have done this, you can click and drag those shifts to the team members below.  This means that you are not “moving people into those spots” but you are rather “moving spots/shifts onto people.  It’s the same thing, really, just a different approach.

Once you have shifts defined you can click and drag those around as you want and need — between team members, back to being open shifts, etc.  But again it is important to remember that this clicking and dragging only works completely perfectly on a desktop/laptop browsers, not on mobile/tablet browsers.

I hope that helps clarify things.  Let me know if you have any other questions.

👋@bobwisecarver - this is Jerry from Square, I'm a product manager who works on our scheduling features in Square Shifts. +1 to elements mentioned by @TheRealChipA (i.e., using open shifts). You can also consider trying out the 'job' view in scheduling (change the filter view from all team members > job view) which can help you build the schedule from a 'top down view'.

We've also started to think about and work on enhancements such as schedule duplication and templates which I think will help you build a schedule based on your mental model.

If you're up for it, I'd love to book some time for a call to better understand the way you think about scheduling (and your process week to week) so that we can shape some of the upcoming features to suit your needs. Let me know if you're up for it and I'll reach out via email! Thanks!
