Payroll same contractor various companies using Square Payroll...

I was just informed by a musician that they've had trouble in the past with square payroll when various employers use the same platform with Square. Payroll and scheduling got jumbled. He's paid by various employers using square. Has anyone else had this issue? I'm very new and just logged in about 60 team members (musicians) and their financial information so would hate to start over with another company. Help.

I have experienced this problem before, though it's not necessarily an issue with Square. 

 

I had an employee who worked for another business that also used Square for scheduling and payroll. This employee clocked into the other business in the Square Team app instead of clocking into my business. When he was on cashier duty he had to clock-in again, this time to my business. I prohibit unscheduled clock-ins while the other business does not, which is how the employee was able to clock in there. 

 

The employee ended up getting paid for the hours that he clocked into the other business because the owner there didn't catch it. The other business had to deal with the fallout – not me. It was a nightmare for my employee to have to deal with because he had to return money he had already spent. 

 

Here's what you can do, though they may not all be possible for your business: 

  1. First and foremost, tell those musicians who are paid/scheduled using Square by multiple businesses to make sure that they have selected your business when taking any actions in the Square Team app. 
  2. Block unscheduled clock-ins. This will prevent someone from accidentally clocking into your business in the Square Team app. This is the best thing to do as it really protects you. If someone does need to clock into an unscheduled shift then they'll have to do it through your point of sale (which I presume you're using, if not then there are some alternatives). 
  3. Disable clocking in through the Square Team app, though this could be a major inconvenience as all of your musicians would be forced to clock in through the point of sale. 

I can't control how other businesses use Square, but if you do these things then you're protecting yourself. It sucks for any staff who work for another business that doesn't take these precautions, though at the end of the day they also need to ensure that they're clocking in and editing info associated with the correct business.
