Payroll Calculation

Has anyone else noticed that the 2025 W-2 wage amount is incorrect? I created a spread sheet to double check it and it is not correct.


Also, the 941 and DE9 reports are not correct either. Did anyone notice this issue as well?

 

I guess for the past 10 years I figured using Square Payroll was accurate, but I am finding out I need to track it closer or not use Square Payroll services if I am double checking. It is causing additional work on my end.

@RiJu I checked mine. 100% accurate. Can you be very specific about what you are comparing to the w2s? What did you put into your spreadsheet? It’s impossible to help troubleshoot without that. You might easily be comparing apples to oranges and not realize it.

@RiJu Adding more. It’s important to remember that w2s and other reports work on PAY DATES, Not submission dates. That’s required by law federally and in all 50 states. Each payroll run has those two dates. When preparing tax forms, only the actual pay date is used.

I know it works on pay dates and not actual submission dates. So even if I calculated the last pay date of 2024 through to December 15th of 2025, it was still incorrect. It was even more than a January 2025 to December 15, 2025 date. So I asked Square to provide me with the beginning and ending dates that they were using so I could determine if the W-2 was correct or not and they couldn’t figure it out either. I have done payroll, quarterly payments, and W-2’s for 13 years prior to my 10 years with Square, but currently I am not able to come up with the same calculations Square has come up with.

The wage amount didn’t not accurate so I created an excel spreadsheet and entered all of 2025 wages. My calculation is more than Squares calculation. I then decided to check the quarterly payroll tax deposits for the 941 and DE9 and those did not calculate correctly either. I then contacted Square in which they had we download an excel report from Square and I explained to them that there is a difference and it’s not correct. So then I called back to speak to a different person and he couldn’t not figure out when I ask to please provide the beginning and ending date for the W-2. I explained to him that it still does not calculate to what Square has provided. 
My point is if anyone is just downloading the payroll report from Square everyone may want to actually calculate each months payroll amounts to assure it is correct. I am now concerned as to how many years over the past 10 years it may have not been accurate.
