Hi all,
I am trying to do what I thought would be a simple report function. I need to generate a report for 2025 (1/1 - 12/31) that includes all transactions (sales and refunds), taxes and fees, invoice ID, customer name, customer address, zip.
The closest I can find is doing an invoice export for Last Year and I get the customer name, email and phone number, but not their physical address (which we capture in the invoice as we are a service company and deliver to customer locations).
Is there a workaround I am missing that will gvie me this information in the one report as well? I don't love the idea of having to cross-reference with a customer list to access the address information.
Any help would be greatly appreciated.
Trish
Great Point. I have tried it multiple ways also. the closest that I can create is an invoice list for that particular client, however, it will not highlight refunds on the excel report. I entered a query into the Square AI beta answer was "I can answer questions about your sales, but I can't filter by customer. Some common ways to query your sales are times and dates, items, location, and employees". But this is a great requested report and I can see how useful it could be. Also some of my clients are not always invoiced, It would be nice to be able to track a client at the register as long as you entered the client name at the beginning of the sale.
Try asking Square AI about a custom report. You may have to tweak the language a little. I've been doing this for a while and it works for me most times.
Query in beta AI - How do I create a custom report for client specific transactions
Creating custom reports helps you view specific transaction insights tailored to your clients. You need access to Square Dashboard and reports permission.

Hello @perkits I tried the above recommended solution from the beta AI and the only types of Custom reports it will allow me to create are very broad sales reports curated by time, location, channel, device, source, team member - Nothing for specific customers as a filter. Both types of queries gave me similar answers but when I go to the custom report page I cannot figure out how to get it to be customer specific. Please share the language that you have used to get a customer specific report. Mind you it is in Beta and maybe I do not have that capability yet. Extremely interested.
@ehflower As you said Square AI is beta so I assume it will get better with time. I did try something easy like "Customer (name) has purchased report" If you are trying to running customer specific you will have to enter the customer name.
I'm not sure if this is what you are looking for, it worked but still kinda basic.
Hello I tried your query so maybe someone from square can chime in... this is what it produced for me
because I could see how creating a report that did include refunds would be very nice. However, this is AI Beta I did it with the word purchase and the word sales and also with and without the quotes around the customer which I copy pasted from the Directory so it would not have any typos. But I do have work arounds that work fine, a few more steps and because I use the invoices plus which allows for me to make invoice templates I can create excel lists that are searchable (but it does not show partial refunds clearly)
I've generated a few reports with Square AI and it has worked, but it took a couple of try's with the language.
This is something I have struggled with for years too, and it does seem so simple, yet it isn't. I have tried using Square AI to do it, but that doesn't really get me good results past what I can already see their lifetime spent, but even after clarifying, I only want 2025 sales, etc., it just gives everything.
