For quite some time I have had some employees show up accurately in my monthly sales report, but other employees (and myself, the owner) are clumped in the category of Untracked Team Members. I have read the threads that say to disable the Team Passcode, but that is not an option to disable in my POS app or my online dashboard. I now have everyone using device codes to represent the phones they use to bill customers. I also put everyone on a standardized mode, but the app sometimes defaults and creates a mode with that team member's own name. All of the added features nowadays are SO confusing. I need so little of it; I just want to be able to track sales to the person. Each employee uses their own device, so there are no overlaps there. It should be easy and straight-forward, but it never has been.
Thanks for your patience. I just saw your reply. I understand your concern but the most accurate way to track sales is by using a personal code. If you were previously able to use a device code, that was likely a glitch as that is not how the feature is designed to work. If you still experience issues after assigning a personal code please tag me so I can follow up right away.
Hello @BilingualSLP,
Thanks for reaching out. I understand that navigating these features can be confusing, and I’m happy to help.
To confirm, are your team members only using the shared device code now and not their individual personal passcodes? If so, sales tracking by team member would only work when personal passcodes are used. I am going to tag some Super Sellers as well in case I am missing anything they can help clarify. @dimo10 @SSB_YVR @lenjobakes @LukeNieuw @Michael_L @alexandriak @BrianaJo @balmonte
Let me know if I can help with anything else!
Actually, I assigned each team member's device its own device code. I had them log out from their email sign-in and log back in using their device code. It works for a couple people but not the majority. My goal is to be able to attribute every sale made to the person who made the sale - whether via the POS app or their online dashboard.
Each person was invited to Square via their work email address. I asked them to log out on their phones and log back in using their unique device codes.
I should mention that everything was working perfectly until Monday April 14, 2025. Up until then, my method of users signing into their POS app with their device code correctly attributed a sale to each person who made one. It appears that now, only people signing in through the Virtual Terminal can get their sale attributed to them.

I would highly suggest creating a passcode for each team member and tracking their sales that way. I honestly think it would be much easier for you and them.
Thank you for sharing your thoughts on this! 😊
