Search by ticket number

This is such a significant missing feature.  I run a counter-service restaurant with delivery to the table.  We print tickets and those tickets are put on the tables so we can find the customer to deliver their food.  The inability to search transactions in SPOS by the ticket number that's printed on every ticket makes it difficult to efficiently find ticket numbers when there's an issue with an order.  Is there something I'm missing?  Search in transactions should be very robust.

I'd be happy to assist here. To better understand your needs, I have a few clarifying questions:

 

-When you refer to tickets, are you using Open Tickets?
-Are you using Square POS or Square for Restaurants?
-Are ticket numbers auto-assigned, or are you manually inputting the numbers?

SPOS, tickets are auto-assigned unless you save a ticket as an Open Ticket in which case it uses that ticket.  As an example, an auto-assigned ticket #51 or #87 or #23 gets printed as a paper ticket upon completion of the transaction and that ticket is taken by the customer to their table.  It lists their purchases and their number so we can make sure the food gets to the right place and correctly.  But, if that customer has an issue with an order and they come back to the register, it's really difficult to identify the transaction without manually scanning back to the transactions at a particular time and clicking on each one that's close.  

 

While we're at it, the numbers increment based on transactions, not based on something printing to the kitchen and when we're extremely busy, we can loop around and come back to a number before a ticket is completed.  It would be great to have ticket numbers that increment based on specific categories.  For example, a number would only get assigned if a purchase includes something from those select categories.  That would make it much easier to track tickets, timing of orders and verify we're not missing a ticket.

Maybe if the Saved Cart or Open Ticket that printed, had a short barcode that could be scanned to pull the actual ticket up.  Similar to a Receipt barcode but smaller with the Open Tickets number next to it if no scanner were available.  I have done the Saved Cart thing, printed out the ticket for a customer that forgot their wallet or CC etc and had to leave to run home.  They comeback and I have to search the saved carts.  This would be easier if I can scan the Ticket they came back with to view and Open their saved cart.  I am not sure what the idea is to save a cart or ticket and then not be able to search for it quickly by a search field or scan it from a barcode.  I can see where this would be VERY helpful in a Bar or nite club where they have Multiple open Tabs.

For me it is not a huge issue, since this is not an everyday occurance of saved carts or Open tickets and searching for that ONE Ticket through 50-2000 open ones.

Thank you for providing more context @vinesandrushes.

 

I recreated this using my personal account and was able to search for the ticket number in the Transactions report. If you have ticket numbers like #34 or #56, are you putting in the pound sign or just the number? 

 

I would like to see how you've set up your open ticket settings so I can make sure I am providing you with the most accurate information. Can you please provide a screenshot? You can find your setting by following the steps below

 

  1. From the navigation bar at the bottom of your screen, tap ≡ More.

  2. Tap Settings > Open Tickets > Toggle on Open Tickets.

That should get you started, but to answer your second question …

 I use Square for Retail and I have Saved Carts not an Open Ticket button, are these the samething but named differently based on Retail vs Resturant or are they 2 different things completely?  When I make a Saved cart it use to ask me for a Name, now it auto populates the Date time for this name.  When I followed your instruction and went to make the changes on my Square Stand, I was informed of Checkout Profiles.   So then I went to my Square Dashboard to see if there was something similar for Saved Carts but can not locate it and made sure settings were on for Open Tickets.  See Screen Shot:

When I tried a Sample on my Square Stand, the save cart had a date not a #45 type number still after following your instructions and the Square Chekout profile.

@RobynR I've tested searching by just the number and the number prepended with # and neither of those return the correct results in the transactions search.  In the search window it also says "Search by card, phone, name, receipt, notes or item" but no reference to ticket number.  This is on iOS SPOS, most recent beta version.
