How to gain more oversight and restrict certain team members' actions on the Square Register.

The title of this thread has been edited from the original: Still no idea what I'm doing.

Can I see what time the square register was turned on?

 

How do I set up each team member to sign in when multiple people use register one after the other?

I want to see transactions - I don't want voids to happen without me knowing - basically if employees are stealing off me.

 

Is there a way to see every keystroke?

While you can’t see the exact time your Square Register is turned on or view every keystroke, there are several ways to gain more oversight over your Point of Sale activities and restrict certain actions for your team members.


Viewing Transactions

To view all transactions on your Square Register, navigate to the Transactions tab from the home page. Alternatively, sign in to the Square Dashboard, and navigate to Reporting > Transactions.


Restricting Voids and Refunds with Team Permission Sets

To prevent staff from taking certain actions, like refunds or voids, assign them to a team permission set that restricts these actions. Permissions define what your team members can see or do within Square Point of Sale, the Square Team app, Square Dashboard, and the Square Dashboard app.

Only business owners have the highest access level, so we recommend granting this to your most trusted individuals. Full access permissions include sales reports and team member permissions, which can be shared with managers.

All Square accounts have access to a single, customisable team permission set linked to a team passcode. This shared passcode allows team members to access a shared point of sale.

To create your team permissions set from Square Dashboard:

  1. Sign in to Square Dashboard and go to Staff > Team > Permissions.
  2. Select Create permission set.
  3. Choose the permission level: Standard.
  4. Customise the permissions included in this permission set, then click Continue.
  5. Select access points for this permission set.
  6. Enter a team passcode or select Generate for a random passcode.
  7. Select Save.

Assigning Team Member Personal Passcodes

When creating a team member, assign them a personal passcode visible upon accepting their invitation. They can find their passcode in the Square Team app and use it to sign in and out at the shared point of sale.

To set up a team member:

  1. Sign in to your Square Dashboard and go to Staff > Team > Team members.
  2. Select + Team member.
  3. Enter the team member’s first and last name, email, or phone number. Click Next.
  4. Enter their primary job title, job details, and pay type. If the job exists, select it or type to access a drop-down menu. Click Next.
  5. Choose their access level by selecting an existing permission set or Create a new permission set.
  6. Assign the applicable locations and click Save.
  7. Generate a personal passcode, then select Next.
  8. Review the information and select Done.

Time Tracking with Square Shifts

Your team can clock in with a personal passcode at the Register, allowing you to track hours worked accurately. You can monitor team member hours, breaks, shift history, and overtime online with timecards.

Timecards should activate automatically once you assign a passcode. If you don't see a clock in the bottom-right corner of the Square app, follow these steps:

  1. From your Square Point of Sale app, tap Settings > Shifts.
  2. Toggle on Track team member time for time tracking.

Customise clock in/out settings from your Square Dashboard:

  1. Sign in to Square Dashboard and go to Staff > Settings > Clock in/out.
  2. To allow clock in/out from the Square Team app, toggle on Clock in/out from Team app.
  3. To block early clock-ins, toggle on Block early or unscheduled clock-ins and set an Allow within time limit.
  4. For automatic clock-outs, toggle on Automatically clock out at end of shift, select Confirm, and set an After time limit.
  5. Select Save.
