Can you hide the line item pricing on estimates and invoices, so it simply shows a total?

I am looking to hide the line item pricing for products, and simply show a total price for all labor and materials on a project. I can't figure out how to do that on estimates and invoices.

Hello @Switched thanks for your post, and welcome to the Square Seller Community, we're glad you're here! I don't know if you can edit the prices, or maybe remove the price for each line once you add it to an invoice, but here's a potential workaround.

 

You could create two new items, one called labor, and one called materials. Leave the price blank in the item. Then when you add the item to an invoice, I think you can add whatever price you want in that line. Let me know if this works for you, or if you run into any issues.

Yeah, that probably won't work because I have well over 1,000 items, and trying to remember prices for them would be impossible. 

I like having the pricing there, because it lets me create accurate quotes. I just would rather present the quote as a whole, instead of all the line item prices being shown.

 

Example:

 

Labor

Widget #1

Widget #2

Widget #3

 

Total: $450.00

 

Right now it is more like this:

 

Labor $200

Widget #1 $100

Widget #2 $125

Widget #3 $25

 

Total: $450.00

 

People tend to get hung up on what each individual thing costs, versus the whole project. Yet when I leave out the line item prices in my other software, they never make a comment, as they simply see the total project costs. Nothing to nit pick.

Thank you for your valuable feedback, @Switched. I agree that having the ability to conceal line item pricing on Estimates and Invoices would be extremely beneficial!

While this type of functionality isn’t available right now, I recommend visiting our Ideate board to see if a feature request of this nature already exists. If you find one, please add your use case explaining how this feature would benefit your business. If no such request exists, please feel free to create one and encourage other sellers to join the conversation.

In the meantime, I would use a workaround similar to what @HC_Charlie has shared here.

Confirm the prices of your line items by adding them to your estimate, then create a one-time item called 'Labor' or similar with a total cost of the line items. If you type ‘Labor’ or another word into the + Add an item field, you’ll see Use one-time item: “Labor” appear as a drop-down option.

Once the one-time item has been created, click on it and add the individual line items in the item notes section:

  • Widget #1
  • Widget #2
  • Widget #3

Ensure the show item descriptions option is enabled in your Receipt Settings in your Square Dashboard. This will display the above text on the estimate and the invoice.

Once you’re happy with the one-time item and you’ve added a price, remove the original items and just have the ‘Labor’ item listed. Your estimate should then display as follows:

Labor: $450

  • Widget #1
  • Widget #2
  • Widget #3

Total: $450
