Anomaly requires explaining

Hello.  I'm hoping someone might be able to explain an anomaly I've discovered.  

 

Each day, I download the previous day's transaction report to reconcile it into my own sheets for stock taking purposes.  

 

The transaction report clearly shows we sold 11 pints of Red Stripe yesterday.  When I open the transaction report on the mobile app, it is showing 10 pints sold.  However, next to the 10 pints sold, the money taken for 11 pints is shown.

 

Why does the volume sold differ between the transaction report downloaded from the desktop version of Square, and the mobile app version?  I feel unable to trust what the app is showing me and it's starting to explain why my stock take results have always ended up incorrect.

  1. Possible Causes:

    • Voided/refunded transactions might be handled differently between platforms
    • Split transactions or modifications might be counted differently
    • Mobile app might not be showing modifiers or variations
    • Time zone differences in reporting periods
    • Cached data in the mobile app not reflecting the most current information
  2. To Verify the Data:

    a) In the Desktop Report:

    • Check if any of the 11 transactions were modified or split
    • Look for any refunds or voids
    • Note the exact timestamps of all Red Stripe transactions
    • Verify if any were part of a combo or discount

    b) In the Mobile App:

    1. Clear the app cache and refresh the data
    2. Check if you're viewing the exact same time period
    3. Look for any "collapsed" or grouped transactions
  3. Questions to Help Diagnose:

    • Were any of these transactions:
      • Part of a combo deal?
      • Modified after the initial sale?
      • Processed with any discounts?
    • Did you have any refunds or voids that day?
    • What report type are you using in each case?
  4. Recommended Actions:

    1. Export several days of reports from both systems to see if this is a consistent issue
    2. Compare the actual transaction IDs between both reports
    3. Use the Square Dashboard online (not the app) as your primary source for inventory management
    4. Document these discrepancies with specific examples (transaction IDs, timestamps)

Also, to help troubleshoot:

  • Are you using any particular filters in either view?
  • Does this discrepancy happen with other products or just Red Stripe?
