tan packages sold on site; how to keep track as they are redeemed

I own a spray tanning salon. We often sell discounted packages in person at checkout. It is an option on my items page. Once the package is sold we manually have to keep track of the tans that have been redeemed. This can get very confusing. If a package is sold on the terminal, is there a way that we can keep up with the package when that person comes in? Is there a way that upon checking out ( using the remaining tans) they can sign off on that particular tan and add gratuity to their artist? We DO NOT use square to schedule appts!

Square doesn’t currently have a built-in “package tracking” feature for prepaid services like tanning sessions. 

 

Here are a few ways to make it much easier:

 

Use a Pass or Package Tracking Item

You can create an Item that represents the package (for example, “5-Tan Package”) and then use Square’s Customer Directory notes or custom fields to track redemptions.

Here’s how:

  1. Sell the “5-Tan Package” item at checkout.

  2. Go to the customer’s profile in your Customer Directory and note “Package: 5 Tans — Remaining: 5.”

  3. Each time they redeem a tan, open their profile and subtract one.

  4. You can also add a “Custom Field” called “Tans Remaining” to make this easier to view at a glance.

While this is still manual, it keeps the record tied directly to each customer in Square. No separate spreadsheet needed.

 

Use Square Gift Cards as Packages

Many tanning salons use Square Gift Cards (physical or e-gift) to act as pre-paid credits.

  • Sell a gift card for the value of the package (e.g., $100 for 5 tans).

  • When the customer redeems, just charge their gift card balance each visit.

  • Square automatically tracks the remaining balance 

This method works really well if your packages are priced consistently, rather than by session count. 

 

Capture a Signature and Tip at Each Visit

This may be hard if you choose to implement the workarounds above. You could ring up the sale for the tip but that could make it awkward with them saying how much they want to tip for you to be able to ring it up. Let me think more about this one.
