Year end inventory

WE took our year end inventory, full physical counts on December 30th, 2024. We have been entering and counting back stock items, and are now ready to finlize the inventory.  We still need the final counts to be dated December 30th, not today's date.

 

How do we adjust or edit the Inventory date?

As far as I know there is no way to BackDate inventory counts.  With the system in Square when you enter quanty received is the date Square uses, you do not need to enter the date.  Square has the ability to do inventory Counts using Square for Retail and an Ipad.  

If you did all the counts as of December 30th 2024, you would have needed to enter those quantities then.  What I have done is either use Squares Cycle Count feature on our Ipads, or exported Squares Catalog as a CSV.  Then in Columns AG and AH are the Counts for inventory   Current and New Count.    I use to use Google sheets and delete all columns that I did not need, then use Excel and Power query to match up the Items Token to merge in the Quantity on hand to one of these fields in column AH or AG   I forget witch one.

After upgrading to Square for Retail I use the Cycle Count Feature with Square for Retail.  This way I can count inventory thoughout the year and not just at the end of the year.  Here is more on Squares Cycle Count Feature : operating-your-business/inventory-cycle-count 

The other alternative which I did when I first started was I used my Accounting package with the cycle counts and tracking of inventory since Accounting software keeps track of Dates of inventory better than a POS system.  With the accounting software you can usually put in a Date to see what your Inventory counts and costs are as a Report.  POS sytems just track when Items came in (Received) and again when they were sold, not much data in-between.

 

So to answer how to Date back your Inventory to December 30th, 2024, that will not happen in Square as far as I know.  Now to do this better for Next  year you can do what you have done, but do the count in November and enter your numbers Dec 30th, 2025 or use the Cycle Count method and do a final count and adjustments for December 30th 2025.
