Tips for managing 1,000+ SKUs on Square

After years managing a large catalog on Square, here are the lessons I've learned the hard way:

1. Categories are everything. Don't dump items in one bucket. We use: Screens, Batteries, Cables, Cases, Chargers, Devices, etc.

2. Naming conventions matter. We use [Brand] [Model] [Part] [Colour]. Example: 'Samsung S24 Screen Assembly Black'.

3. Bulk edit via CSV. Need to update 200 prices? Export, edit in Excel, re-import.

4. Set stock alerts per variation. Fast-moving iPhone screens get a higher threshold than niche Samsung parts.

5. Quarterly stock takes. Square's stock tracking drifts over time — returns, damage, theft.

6. Archive don't delete. Discontinued product? Hide it, don't delete. You lose all historical reporting data if you delete.
