Synchronization issues with phone app

We have Square for Retail.  We have two different sales tax settings.  One for beer/beverages where sales taxes are included in the price and one for everything else where sales tax is added to the price.

 

Since Square does not allow for a 'default' sales tax setting other than all of them enabled, we have to run a weekly report to make sure the sales tax settings are correct for all newly created items.

 

Occasionally, the sales tax settings for some items revert back to the wrong setting.  I think I have tracked this down to the scenario where one of our employees is using their phone app to add photos of the items.  When the new photos synchronize with the square item, somehow the sales tax setting reverts back.  I can't tell you if 100% of this scenario happens or if there is some synchronization window that we hit (which I suspect, but can't verify).

 

Seems like a bug in the synchronization software of which is the 'master' when it comes to sales tax settings - which should be the most recent setting (IMO).  At least, that's how it works with everything else.

Not sure what is happening here, but I have a few ideas that might be able to help you.

 

1) When employee is going to be adding pictures, have them make sure they are using the most upto date Square version. 

    What I am guessing at is that the employee may have a version that only has 1 tax or only has this 1 Tax enabled because of using an outdated version.  So all the Items he changes will only get the 1 tax applied, or they are accidentally marking the wrong tax setting for the items with new images.  

 

 

2) Instead of looking through reports, Filter your Items and export both Filters.  Items Categories with Tax Included (Beer/Beverages) and another filter opposite this setting where Tax is added on.   Then you should be able to Copy down your Tax Settings for Future sales and can see which Items the Tax Name was wrong and correct those items in Square for Tax purposes.

 

So my Tax Names would Be 6% Pa Sales Tax and Price Included Tax for Example.   I can Edit the CSV to find 'Price Included Tax' and let my computer look over me looking and possibly missing one.  

 

 

On a Side note I have been with Square since 2019, and have only had Tax issues similar to your once.   Items would go from Tax to No tax or vice versa.  This happened with Square Updates when they were adjusting the Tax settings.  I just happened to be at the register when I noticed a Non Taxable item was Taxed, but was not the case for prior sales or through testing when I setup the item.
