Report Cash Paid in/Out?

My business is considering switching to Square for restaurants.

We borrowed a friend's hardware to beta test the system, and so far, we like many aspects. However, we are struggling with a workflow to account for Paid Out/Ins

All I can find is multiple, multiple threads on this that are all locked but provide no answer other than

"Too bad you can't get that as a report or export it"

IE: https://community.squareup.com/t5/Questions-How-To/Report-Cash-Paid-in-Out/td-p/88911

I need a report ( preferably in CSV or excel) That would list all the paid in/outs for the specified period for the specified drawers.

My accounting team needs this to account for my smaller vendors. We pay cash.

(Think bakery next door delivers bread each day, and we pay them cash. I need a way to quantify this quickly and say "ABC Bakery was paid $XXX.XX This month)

Additionally, we do multiple Lottery payouts each day for winning tickets, and while we audit this and match it to our lottery daily, I also want to be able to quickly quantify this weekly and monthly and match it back to my reimbursement from the lottery.

A report or export like this seems so basic and simple I really cannot believe it's not an option.

My 4 leaf POS delives this in a simple list as a csv whenever needed, that can be easily sorted and added up.

Please don't say that we can compile this manually by looking at each drawer. If I wanted to do silly clerical work manually, I wouldn't be looking at a POS system.

@TerryIII I don't use paid outs, but can you tell me if they show up in the transaction history?

I can think of 2 "dirty" workarounds to get the info.  #1 you could make an item named "payout vendor 1" with a 0.00 dollar amount.  When you do a payout, you would go behind..ring in the amount under that item. Save the ticket.  The recall it and "void" it.  This would put it on a void report so you would know the amounts.  That is a bit tedious.

The cleaner but it would mess with your gross sales reported would be to do an item called "cash paid out" and then do 100% discounts on the amounts.  Then you could total the discounts under that item for any day and track it down to a transaction report by the staff member.

All that said, Cash pay outs, and lottery are both 2 words that under certain circumstances violate the terms of service for square.  You can't use the credit cards any where related to any type of gambling or sales of lottery tickets.  Most states are cash or debit only, but you can't even use square for debit.  The cash part is murkier because while you are using the point of sale, you are not using merchant processing.  So it could go either way..and the thing is...square is the one who decides.

Hello @TerryIII  – Welcome to the Square Community! 😊

I completely understand how having reports for specific time periods and drawers would be helpful. I’m not seeing an update or workaround on my end just yet, but I’ll tag a few Super Sellers who may have insights to share: (@Donnie-M @indianathomas @jjsmeatshak1 @Candlestore). Thanks so much for your question—and if you need anything else, feel free to reach out!

I appreciate you providing some workarounds @Donnie-M. This is a great callout about the lottery tickets. I apologize for the oversight on my end.

If you need anything else, let us know @TerryIII
