Is there an option for different receipts? Such as one for the store and one for donations?

We are a non-profit museum and use square for admission fees, buying memberships, and mostly running the gift shop. I do all the messing around with it on the back end and reporting and such, and recently was requested to find a way to make a scannable code for donating. Done, working and seems all good, but a receipt is automatically sent after someone makes a donation and it is the receipt I have edited for the register sales. I was hoping to find a way to make a different receipt for different sales channels- such as register as opposed to someone donating from their phone. It would be great to edit a receipt to have our tax information on it for the donations, but that isn't needed if they are just buying something from the store or getting admission. Thoughts?

We can manually put the info in our CRM system and do thank you notes and tax receipts from there and that is currently the plan, but it would be nice to at least streamline the auto sent receipt.

Hello @hjhmuseum !

 

I think your best bet in this situation would be to change the Order Received email your donors would receive when placing an order online, assuming you're using a Square Online site for these transactions.

 

You can do that at Dashboard -> Online -> Communication -> Email and Text Alerts. You can add a text field with all the tax information needed here to the Order Confirmed email.

 

If you're not using the Square Online website, I'm sure the site you're using has the same capabilities.

 

Now, if your donor is able to buy admission or any other product from your website, they will still see this email, so you may want to put a note in about the tax info is for donated items. This solution does allow you to make your in store receipts not need that information though.

Currently I am not using the online site, at least that I know of. It is via payment link that I got a QR code from as we have been sort of avoiding messing with the online site option. Is that also through the online site in a bit of a roundabout manner?

@hjhmuseum  Okay that makes sense. Payment links are their own beast, that's for sure. They run a little differently than the online store.

 

What I'd recommend to include tax information with payment links is to add that info to the Merchant Policy section on the payment link configuration page. That way it'll only show with the links.

 

That page is at Dashboard -> Payments -> Payment Links -> General.
