I need to know exactly how much cash my managers collected..

Hello.  My wife and I are taking over management of our business we have owned "absently" for many years.  Our managers have been removed for good reason.  (Yes, I'm staying vague on details because it's a looooong story.)  As the title suggests, I need an accurate figure on how much cash collected through Square should have been deposited in the bank.  Yes, some cash is spent on incidentals, which I have receipts and have accounted for.  Obviously theft is at the root of this question.  I just don't want to be wrong about my suspicions.  If there's any way my figure is off, I need to know.  I'd actually be thrilled to discover I'm wrong.

 

I'm logged into Square at my PC, not a terminal.  I have gone to "reports" and to "sales summary".  Down bottom it breaks down all the money collected by payment type.  Is there any reason the "Cash" amount shown in this section would be off?  Bank deposits are short about $4k for the 6 months we are open in 2024.

At each POS they should be closing the Cash Drawer by entering the Amount in the cash Drawer which is compared to the amout that was taken in of Cash.  You can view this in your Square reports at https://app.squareup.com/dashboard/sales/cash-drawers .

You can also login on your computer > Reports > on left side menu area look for Cash Drawers to get to where the link takes you.

A few reasons a Cash drawer could be off:

  1. Wrong cash amount given
  2. Paying vendor Cash instead of out of the Business Checking account
  3. Settle Tips if you do tips that way instead of through Squares Payroll
  4. Used Cash for small purchases (Pizza, Gas, Local Charity asked for Donation)

These are about the only reason Cash would be off that I would know.  Especially since Square has no Fees for Cash sales.  From my calculations that is an average of about $22 a Day missing.

Thanks for the reply.  I was aware of the "cash drawers" section.  I honestly was taking the lazy way out... because some days we run two registers, some days only one.  Each day starts with $150 cash in the drawer, and for some reason Square includes this $150 in the totals they provide.  Not quite helpful. 

 

I just spent the time adding up how many register sessions we had in 2024... subtracting that number by the $150 each day started with.  This calculation does get me closer to the ballpark I'd hope to be in.  But with register errors... and days where they were not closed properly... I just don't have an accurate figure I guess, and I probably can't get one at this point.  That ship has sailed, and the managers have been removed.

 

Yes, I added cameras last Spring.  They helped a little... but after 8 years of unfettered stealing, I think old habits could be a little challenging for them to overcome.  They thought the cameras were only going to be relied on for break-ins?  I watched them like a hawk all summer.  Probably shouldn't say much more since there is a case building.
