Hi, @jawadzahoor ! Welcome to the Square Community! We are so happy to have you!

There are several ways to track distributor-wise sales in Square. Here's how you can set this up:

Method 1: Using Categories
  1. Setup:

    • Create categories for each distributor in your Square Dashboard
    • Go to Items > Categories
    • Assign items to their respective distributor categories
    • This allows tracking of items by distributor automatically
  2. Reporting:

    • Go to Square Dashboard > Reports
    • Select "Categories" report
    • You'll see sales broken down by distributor category
    • Export to CSV for further analysis
Method 2: Using Custom Attributes
  1. Setup:

    • Go to Items > Item Library
    • Enable Custom Attributes
    • Create a "Distributor" attribute
    • Assign distributor names to each item
  2. Reporting:

    • Use the "Items" report
    • Filter by custom attributes
    • Export to CSV and pivot the data
Method 3: Using Item Reports with Excel
  1. Export Detailed Sales Report:

    • Go to Reports > Sales Summary
    • Select your date range
    • Export to Excel/CSV
    • Include these columns:
      • Date
      • Item name
      • Quantity
      • Sales amount
      • Category (if using Method 1)
      • Custom attributes (if using Method 2)
  2. Create Pivot Table:

    • Open in Excel
    • Create pivot table with:
      • Rows: Date, Distributor
      • Values: Quantity, Amount
    • Sort and filter as needed
Recommended Approach

For your specific needs, here's what I recommend:

  1. Initial Setup:

    • Use Custom Attributes for distributors
    • This provides the most flexibility
    • Allows multiple distributors per item if needed
  2. Regular Reporting Process: a) Export detailed sales report b) Include these fields:

    • Transaction date
    • Item name
    • Distributor (custom attribute)
    • Quantity
    • Gross sales c) Use Excel to create pivot tables d) Save the template for future use
  3. Additional Tips:

    • Set up automatic weekly/monthly exports
    • Create saved report templates
    • Use consistent naming for distributors
    • Consider using Square's API for automated reporting

I hope this helps! ๐Ÿ˜Š
