Archived items with duplicate barcades still show at checkout

At checkout, when a user scans a barcode, the Square POS terminal displays every item tied to that barcode, whether active or archived. This creates confusion because users may accidentally select an archived item instead of the current one, which throws off inventory tracking and reporting. I believe there should be an option to hide archived items from appearing in the checkout terminal. This issue is especially problematic with one of my breweries, which assigns the same barcode to all like styles (IPA, Sour, Lagers, Stouts). As a result, the terminal lags while trying to load multiple options, further slowing down transactions and increasing the chances of errors.

@BeerdedLady Welcome to the community. The problem with archiving an item is the way it’s archived. When archived in Square it hides the item and the name from coming up in a search, unfortunately this doesn’t pertain to barcodes. Barcode search doesn’t distinguish between “active” and “archived” — it just pulls every catalog match for that UPC.

 

The only workarounds I can think of are below and they are not easy workarounds for speed and efficiency.

1. Reassign barcodes. This would be nearly impossible for a bar with individual items and turnover.

2. Delete archived items, but that would mean having to re add them when they become available during seasons.

3. Have staff lookup item by name, then again this can be time consuming at a bar.
