Transaction reference

 I have set up for Square use via app, card reader and now Online. With the app I can ensure a reference is entered (by me) for each transaction so that I have a simple and clear record in the transaction list of who and what for by adding a text item. In the Online offering (which is done by the customer, with no sales operator to mandate the info) there does not seem to be any way of forcing the customer to add such useful info as a surname and item (subscription, event ticket, donation). This is akin to the reference you can set when mailng an online bank transfer. I accept that this will only appear in the Square account transaction list and not in the bulk transfer to our bank account.

Is there a simple way of doing this?

When you create an item for sale online, you can dictate the Item Type. The options available are:

 

  • Prepared food and beverage: Best for restaurants and other food venues. Includes optional nutritional information for buyers with calorie counts, dietary preferences and allergens.

  • Physical goods: Best for retail items such as clothing or jewellery, or non-perishable foods like bottled wine.

  • Event: Sell tickets to events, and include an address/online link and times.

  • Digital: Lets you sell a digital file for download, like an eBook or song, that you can manually send to the customer.

  • Donation: Allow anyone to send donations for any cause of up to a certain amount.

  • Other: Best for items you will fulfil manually.

 

You can also select which fields should be mandatory from the Customer Inputs section, on your Square Online Dashboard. To adjust these settings, just head to: Online > Settings > Checkout > Scroll to Customer Inputs > Edit.

Once you've customised your settings to record the item type and the customers information, you can then view this from the Transactions tab of your Dashboard for each individual payment, as you mentioned. Or, you can export your entire transaction list for a given date range to view the information. If you'd specifically like to see the Item Type and Customer Name, I'd suggest exporting the Item Details CSV. There will also be a unique Transaction ID assigned to each payment on this report.
