How to bulk edit item categories?

Hi, I have a website with its own categories for my products and a set of different categories for the same products on Square. I have now connected the two together and the categories from the website have pushed through to square alongside the existing ones.

 

Is there a way for me to streamline these categories as I use square on my tablet as a POS when I sell at my market stall and it's all a bit confusing now?

Hi, there @redpandatrading. I see this is your first post on the Seller Community, so welcome 🙂 

 

I'm happy to help, when you say you have connected your website products to your Square products, how did you set this up? 

 

Is the issue that you are seeing duplicate items and categories from within your item library? If so you should be able to remove the duplicates using our item import/export tool on the dashboard. 

 

However, I'd just like to make sure I'm fully understanding the query before we go any further here.

Hi Alegra and thank you for welcoming me to the forum 🙂

 

My developer originally set Square up on my website in Woocommerce when I launched it a couple of years ago. I switched to using Worldpay for the last few months and have now switched back to Square. It is enabled to push inventory changes to Square and is the main payment gateway on my site.

 

While I was using Worldpay, I was using the Square app separately as my POS when I am selling away from home and had set up my products in a different way to my website. The products were categorised differently to the site and all was fine. If I sold anything, I would make the changes to stock levels manually on the website as Square was disabled on there.

 

Now that I have put Square back as my website payment gateway the categories are quite a mess on the dashboard. There are all of the parent and child categories from the website as well as the ones I had manually created beforehand. Some of the manual categories are now empty but not all. It's quite confusing!

 

Do you know what I can do to streamline all of this please?

So the quickest way to clean up your items and categories would be by downloading a CSV copy of your item library, making your edits and then re-uploading the modified file.

I would suggest having a quick look at our support article Import Items Online which gives a detailed overview of all the process involved but I'll also leave the steps listed out below. 

 

To get started with Item Import Tool, follow the steps below:

  1. Visit Items in your online Square Dashboard.
  2. Click Actions > Import Library.
  3. Select Modify Item Library to add new items and update existing items, or Replace Item Library to delete all existing items and replace them with your uploaded items.
  4. Click Next > Click Download your item library to download your current inventory Excel (.xlsx) or .CSV report Export. Select between Excel (recommended) or CSV.
  5. Open the file saved to your computer in a spreadsheet program.
  6. Fill in the template columns with your item information. When editing the template, keep the following tips in mind:
    • Don’t change any of the information in the Item ID column or delete empty columns.
    • Leaving the category field blank will leave the item as Uncategorised.
    • New categories will be created for any new values identified in the Category column.
    • Leaving the price field blank will create a variable priced item.
    • Leaving the modifier field blank will default the modifier to off. Place a “Y” in the appropriate Modifier Set column if you’d like a specific modifier applied to an item.
  7. Save the edited file to your computer.
  8. Drag and drop the file into the upload area or click select it from your computer > Upload.
  9. Review your changes and click Confirm to upload your new item library.

Note: If you need to revert to a recent version of your Item Library, you can undo an item import from the Items page of your online Square Dashboard > Actions > Undo Catalogue.

Hi Alegra,

 

Thank you so much for your advice. I have followed your instructions and uploaded the products with the categories put back to as they were before I synced it with my website.

 

Will the products stay synced when items are sold on the website and filter through properly to the dashboard (and vice versa)?

Glad that worked for you Wendy! 

 

If your developer has set up your site to push inventory changes to Square previously then the sync should still be in place even after you made your edits. 

 

It might be worth putting through a test transaction just to be sure @redpandatrading

Hi Alegra,

 

Many thanks for your help so far.

 

I've put a test transaction through (twice) for one particular item and the stock level didn't change either time.

 

The stock amount for the item was 25. This didn't change on Square but did change on my website. I went into the products page on the site and clicked 'Fetch Stock From Square' and it now says 9!

 

Any thoughts on what could be going wrong?

Hi @redpandatrading, sorry to hear you are running into issues with your Inventory sync between WooCommerce and Square. I suggest contacting WooCommerce support team for this one. The integration is fully managed by WooCommerce and their team will be able to check the inventory sync for you.
