How to get team members to set up their card readers without doing it through the owner sign-in

We're having a problem setting up our Square card readers. I want to set up three people on three different readers. So far we've only been able to set up one, and she could only get set up using my sign-on. I invited her to be a team member with the middle level of privileges. She accepted the invitation and we assumed she could then set up her reader. Wrong. She had to do it through my log-on. What is the point of having team members if they can't do what we want them to be able to do?

I haven't sent invitations to the other two team members until this issue is resolved. We deal with other financial institutions that have "team members" and we never have these kinds of issues adding people. The whole set up process for Square seems unduly complicated and cumbersome and I'm wondering it it was a good choice for us.

Please advise how we can get all our team members to set up their readers and not have to do it through my sign-on.

The way Square is set up is that your team members need to be in on your account in order to process sales for you. So yes, they will need to access your account on their devices.

 

However, you do not need to give out your email and password to your team members. I recommend using Device Codes for your team. This will give them access to your business account without knowing your password. When your employees are on the sign in screen on the Square app, have them tap the Device Code link then enter the 12 digit code you give them. This also is nice for when employees leave: you can just deactivate the device code instead of changing your password. Here is a help file on how to set up device codes.

 

If you have their permissions configured correctly, they will not be able to access anything you don't want them to. They can make sales for you and your bank accounts will get the funds. If the employees try to use their own login information on the Square app, they could potentially change the banking information and pull the funds from you.

Thank you very much for that, Ryan. Will look into setting up device codes for our team members to use. It seems like finding our way through a maze figuring out how to get Square set up. I really appreciate your explanation and will give it a go.

 

Will report back here after we've gotten things set up so others might benefit from our experience.
