How can I prevent editing of a page for regular cashiers?

We're a small charity retail operation that relies on retiree volunteers to cover our cashier shifts; they put in a couple hours per week. I wouldn't characterize most as "computer savvy", but they muddle by. On our registers I've set up 3 pages to hold our 30 or so item tiles - Common, Uncommon, & Discounts - and our cashiers have only rare need to venture off the Common page.

 

This week there was some panic: one of our cashiers inadvertently removed the Common page. While she was trying to figure out what to do, within a couple minutes the change migrated to our only other register, thus effectively taking that one out of commission too. And, there was a line of customers, which adds stress.

 

I showed them how to access the tiles from the "All Items" page, but throwing something new at these non-techie folks - while they were stressed - was not ideal.

 

I happened to have an idle Square Terminal in the back, & was able to reconstruct the Common page within 5 minutes or so, which migrated out in short order. But "what if that had happened during a super-busy day with 20 people in line", and "what if that had happened when I was on vacation" are thoughts that have been haunting me since.

 

Can someone tell me how to eliminate/disable, for non-privileged cashiers, the "Edit page" button that's adjacent to our Common/Uncommon/Discount page tiles? Cashiers should not have access to add or eliminate item tiles from a page, and they certainly shouldn't have access to add or eliminate whole pages of tiles. Only register users with Staff permissions should be able to change the system - cashiers should just be able to use it, not modify it.

Solution

Having multiple people help out can sometimes be a challenge - suggest looking into Square's Team Management feature as you can assign specific permissions to individuals.   Here's some info on getting started.   One tip, you could create one generic account using a Gmail email address, verify the account and then assign Cashier permissions.  The generic account would be easier on you rather than creating an account for each of volunteers - no need to deal with additional issues down the road.

As @JK_Fiber_Art said you could setup 2 Permissions 1 Generic and 1 Owner for you.

Sign in to your Square Dashboard on a computer then or just try to go to this link and you will be asked to sign in :

https://squareup.com/dashboard/team/permissions 

 

You want 1 Owner permission with everything checked in Blue and one sales Associate level.  On the Sales Associate Level make anything Grey you do not want the others to have access to.  For your above question I would look at Account & Settings - Customize Device Navigation Bar.  Actually you may want to Grey out all options under Device.  Hopefully these adjustments will work for you.

Then get the Passcode for the Salesassociate or assign the employees to Sales Associate level.

Follow up: our checkout was again put into a tailspin when one of our non-tech-savvy volunteers removed the page with our most used tiles. I contacted support, hoping they could point me to the permission I need to disable. "After taking another look into this it seems like there is currently no restriction that prevents employees from changing the register setup. I would have to put this down as a future feature suggestion and hopefully our engineering team can include this permission in future updates."

Thank you, Keith, for the details. I think there might be a Square bug: we had created a permission set called "Team Permissions" for all of our regular cashiers, and browsing through its permissions, I'm seeing nothing remotely associated with making UI modifications. In particular, "Account & Settings" is turned off at its top level. I tried enabling it & then disabling all the separate permissions underneath it; no change.

Please please please get this into the development queue!  We have had this happen so many times.  We have team permissions setup and restricted to checkout only activities but the EDIT function on the item grid remains active for everyone.  There is not a permissions setting under either checkout or device settings that can be turned off.   We consistently have new cashiers who go in and inadvertently delete tiles from the item grid.
