On Square Register, when adding a customer to a sale, I would like to search by reference ID or another field, rather than first and last name. How do I do this?
Hi, @FoodBasket, thanks for getting in touch with your question and welcome to the Seller Community!
At this stage, you can search for a customer from within your Customer Directory by using either their name, email or phone number.
Do you mind including some more context as to why searching by a reference ID would be preferred over the existing search options?
We do have the option of creating Smart Groups within your Customer Directory, where categories are used to automatically group your customers based on their visit frequency or engagement with your business. But this is more helpful for reporting purposes, rather than used as a search function.
I'll keep a lookout for your response here.
Hi Laurie, thanks for the response. We are a not for profit grocery store with a pretty high sale frequency, even if the value of those sales is very low. As we use a membership system based on eligibility, it is important that we check customers are members before they purchase. We use membership cards with member numbers to identify customers. We would like to be able to enter the membership number and quickly see member details, rather than having to ask for their first and last name, which some may not feel comfortable to give in a busy shop.
We have found a work around; if we store their member number alongside their surname in the surname field, we can search by member number and it will come up. It's untidy but it works.
As a side note, it would be great if we could set the dates to English format (DD/MM/YYYY) to avoid confusion when checking currency of memberships.
Thanks, Mick.
Thanks for providing this additional context, @FoodBasket, that's extremely helpful.
The workaround you've created is actually the best option for this in the meantime. I explored options available through the Square Loyalty program which will link a customer's phone number to their payment card automatically, and accrue points each time the customer uses the same card.
However, this isn't still doesn't resolve the limitation of the Customer Directory search function. I'll be happy to pass your feedback on to our Product Team and will include any updates received in this thread.
Regarding the issue you're seeing with the displayed date, are you referring to the date showing under 'Buyer Summary' (Customer Since)?
Hi Laurie, thanks for that.
The date is is to do with how we track member currency. Our customers need to renew their membership each year so we store their expiry date in our database. Because we are in Australia, we store is DD/MM/YYYY, but because Square is US based, it requires MM/DD/YYYY. It would be good if we had the option to set the date to the format we wish to use so as to avoid confusion. Does a member with a renewal date of 01/06/2022 have a membership that expired 6 months ago or 6 months membership left?
Got it, thanks for confirming @FoodBasket!
I don't have a Square Register to replicate this on at the moment, but in the app on a mobile device, I'm seeing the Australian date format showing as the default. It would be helpful if you could take a photo of the date format on your Square Register screen (be sure to scrub any personal customer information from the image) and send it through in your reply.
I'll pass this on to the team along with your feedback here so we can confirm if this is expected behaviour for an Australian account.
Have Square released any new features to search for customers using something else rather than name, phone and email yet? Thanks
Thank you for checking in to this thread, @dada_83. Right now, we don't have additional search fields to locate customers. We'll continue to share this feedback with our team.
