Deposit Isn't Reflected in the Total Due

Invoices need to have a balance due, or remainder due to reflect deposits being made.

 

I just had a nightmare of a time dealing with customer service via phone and chat.

Trying to explain to them that the Total Due on an invoice isn't taking in to consideration a payment was made. For example, this is the downloaded version showing the deposit was made at the bottom. If you click the link to pay, it will show that a remainder of $1509.90. My client is trying to turn this invoice into her accountants to pay the remainder by check, but it has the total due as the original amount. They confirmed that this was normal for Square. I agree. The balance owed should be displayed. It's misleading when scanning outstanding ARs.

I'd prefer that it keeps a running totals, list of date & change. 

• Invoice Beginning Total

• Deposit made & date

• Any additional charges & date ie upcharge for better stock, increased quantity, etc.

• Any other credits & date

• Remaining Balance due

I am running into this same issue and am very annoyed. Let me know if you find a solution or workaround.

Hey @rococomac and @iamdaishad !

I came across this thread and honestly hadn't realized that .pdf invoices showed up this way.

 

I was able to confirm this behaviour is still happening, but when I looked at my invoice, I could see under "Total Due" there were two lines, one with a "Deposit" and one with "Balance":

When I create my invoices I always "Add a payment schedule" and "request a deposit". Are you using a payment schedule to split payments and are still seeing the .pdf version of the invoice as above?

 

Let me know! We can likely find a fix if it should be showing up as my photo, but it's only showing up as yours.

This is a huge problem for us as well. We send an invoice on a custom order shed, take a deposit, and in the 6-8 weeks it takes for the shed to be delivered, the customer may add an item, like a ramp. We add an item to the invoice, but the PDF will not show the true balance due: It just shows the total amount due, and payments made. Invoices within Square, EASILY shows a total due, when you click on an invoice. How and when will Square fix this? This is a huge problem for our team of salesman and the large volume of sales we put through Square. 

One more comment, which is that Square IS ALREADY making this calculation correctly within the invoices interface. If you click on an invoice with a partial payment, it very easily shows you the:

Amount Remaining

Invoice Total

Amount Paid

 

All everyone is asking for here is that the "Amount Remaining" also be populated on an invoice print out/PDF view as well. Should be Screenshot 2026-04-07 at 7.55.46 PM.png easy for Square engineers to map that field to the print versions of an invoice.

@lenjobakes @rococomac I just spent an hour on Square support chat, where I finally got to a human, and then was disconnected on - where my chat has now vanished. Which is...infuriating. 

But I have narrowed down the exact bug - we just need Square to fix it! When a deposit is captured (deposit %) - the PDF invoices do not then show REMAINING BALANCE DUE. But if we go into that invoice, click "edit payment schedule" and change it from deposit % to Deposit $, and type in the amount they paid the deposit - now...perfect, the PDF looks how it should, showing an accurate balance due.

Here is the problem - we cant have 12 salesman going back into their invoices and manually entering payment amounts. For one, thats too much manual labor. For two, you are inserting human error opportunity in a very high stakes area. This seems like such an obvious bug, and one Square can fix...why won't they??

Sorry to hear about your issues with support - I know it can be frustrating. Obviously the recent layoffs have had some adverse effects for everyone. 

 

Honestly, I'm not sure why you're experiencing this bug. As I mentioned in my reply above I always request a deposit and it's always based on a percentage (50%). We don't bother doing the math or entering an amount. 

 

However, when a customer makes an adjustment to their invoice we *do* change from percentage to amount just because we don't want their invoice to say overdue. It's done in one step when the edit is made adding the item and your team can copy and paste. It's what we do - we're in there anyway. 

 

Can you clarify if this is your use-case?
