Tariff Strategies for Small Businesses - What are you doing?

Interested to know how y'all are prepping for tariffs or what you are doing/not doing because of them. We backburnered a second location for a variety of reasons last year but this year were approached by a property owner and there were some concerns about the location and timing  but one of them was the unknown expense of equipment and supplies moving forward. Kilns use a lot of steel and imported parts and supplies as do a lot of our glazes and just basic things that every business uses that aren't made in the us - reading labels has been very enlightening about just how many things we use aren't made in the US.

I am very interested to know y'all's strategies. I see the Square community as a far deeper resource than just to talk about Square - we can help each other navigate Square but I don't often get to chat with other business owners and this forum for me has been very helpful and inspiring both as reassurance and as a challenge to a way that I normally think.

Here's what we are doing:
* Small price increase on membership and events (we have only raised prices 2x in 13 years)
* Buying in bulk for things we have room to store - we bought a kiln to have on hand and are considering a few more pottery wheels
* Discontinuing materials in our glazes that are coming from further away to focus on domestic suppliers 

I picked a few articles to share below about strategies to negotiate with suppliers and interesting twists such as pricing things to sell in house instead of paying a fee to the supplier. There were a lot of things I hadn't considered.

Are you changing expansion plans?
Freezing hiring? firing?
Changing prices?
Making deals/negotiations? If so I think it could help others to know what you are doing. 

I don't have a retail oriented business but have advised my mentees to raise their salary a little as well in case they experience expenses shifting in purchasing clay and supplies to make their pottery.

The thing is business no matter what the size or its location needs a stable and more predictable environment to operate from. At the moment we are being clobbered from all directions with factors outside of our control...conflicts, inflation, tariffs, tax increases and so on. No sure what the answer is but there are choppy waters ahead for sure. 🌊

THIS! It's so freaken unsettling but it's the environment we need to get used to. I try and look on the bright side of things... so- anyone have any ideas of what those are LOLOLOL.

 

Anyway- this is ALSO a reminder to shop around! We've been in biz almost 7 years and we have a lot of vendors we love and been loyal to; but I've started researching costs. Who offers free shipping, who has sales- even an extra 2% helps.

 

I recently went to reorder a product we order a lot of- and it went up 25%! Guess what- we found something else!

Trying to be positive, but its tough when talking tariffs. I read that the effects of the tariffs my be further down the road for some businesses as suppliers have stocked up and filled warehouses in advance of the tariffs so for some businesses the effects may be delayed, unless they are profiting by loading up and buying at the lower price tariff price and selling at the higher tariff price. Similar but different I hear that the fuel companies on at the petrol stations do similar when they know there is a fuel duty tax hike on the way, they fill their stations tanks a few days before at the lower price and sell at the higher price when the new duty is applied. 🤔

We definitely had to increase prices! Coffee has increased a bunch due to a mix of climate change/weather as well as tariffs. 

We also are noticing due to economic uncertainty that people are becoming far more choosey (is that a word?) in how they are spending their money. We are in Southern California and the cost of living is already astronomical. So we are just doing our best to focus in on our core values and why we started. The customer experience is key over everything. Thankfully we provide an “affordable luxury.” They may be cutting out weekly dinner at a restaurant or vacations but they still can treat themselves to a latte. 

We try to obviously cut payroll where we can and be mindful of supplies but ultimately the world will continue to ebb and flow. If it’s not tariffs it’s something else. A matcha shortage! That’s a fun one. Our matcha prices quite literally doubled because Japan due to weather and demand cannot keep up with what the US is drinking.

I can't imagine how difficult it is to be in Cali.  We're seriously considering opening a cafe/coffee/soda shop and you were the first person I thought of... I may send you a message and bend your ear at some point.  You always seem to have such a great handle on your business and the coffee market!

Oh my goodness! We’d love to chat. Soda pop shops are trending right now!! I always think that’s such a cool idea. Californians are a little too health conscious for them but you better believe when I travel I’m finding a dirty soda somewhere.

My husband has wanted to do a food truck for quite a few years and I keep telling him no.  Now he wants to do an old fashioned soda fountain, taps and all, along with doing some food and of course coffee and baked goods.  So, if we move forward, I will definitely reach out!

We decided to buck the trend, matcha is so expensive to the point where it's really not viable to use in a drink without refinancing the home. So we are officially matcha-free, I feel liberated! Although we did put it out there that we are matcha-free and had some customer rock up for their free matcha. I do wonder sometimes where this world is heading 😂

The tariffs and their changing status by the week have put our next expansion on hold.  It should be being built right now, but nope.  Our next greenhouse structure quote was around $350,000, along with a $106,000 tariff on the steel and other components.  I'd much rather spend that 100k using a concrete company in the area, or paying a local crew to build it, or plain old keep it.  90% of greenhouse structures are fabricated in Canada. 

It also affects our supplies between peat and soils from Canada, plastic manufactured in the US but from resins from multiple other countries, plants that are grown in other countries and then cuttings made and shipped to the US, shipping carts made in China, and just day-to-day parts and supplies.  Not much is untouched.

What are we doing to combat it?  There isn't a lot you can do.  Many do not have US options for sources, or if there are, they still might be 50-200% higher than the imported ones with the tariffs.  We raised prices, and that is being raised by more than just the tariff issue.  Energy, labor, vehicles, insurance, property taxes, all are up too.  Insurance is getting super out of hand.  Just for our farm and garden center, we have just shy of $100,000 in insurance policies a year.  Then, almost 30k for our family insurance, and then personal cars and personal home insurance, etc.  

Just getting hit from everywhere all at once.

Insurance is INSANITY

Health Insurance is the single biggest driver and I wish we could spend that $ elsewhere.

So.... we had our first ever tariff hit us this week.  We got a quote on a specialized pump for one of our clients and a $700 tariff was included in the quote.  I've informed the client in the bid that they have to pay that tariff and we have no way around it.  The pump has to come from a specific company and there's no way around that either.  I was shocked when I saw how high it is, but it's a cost of doing business for them.  The client is commercial and understands they have to pay it to keep their business operational.  I was pleased that they didn't try to argue it with me.

 

I suppose that we're lucky in that costs are passed on to the client in the bid and there are only certain things that we use as business expenses and pay on behalf of the customer.  I know that for a lot of you, that's not an option.  You have to spread that tariff across your business and raise everything to comp for it.  I'm sure this isn't fun at all.  For you or your customers.

I also find it weird retail businesses running ads like “get our pre tariff prices” etc. 

 

Call us skeptical but how do we know for sure what people are labeling as “tariff” prices on all these things are legit. 

It feels like people might want to just capitalize off of this “buzz word”

I haven't heard of that happening.  At least with ours, I know that the tariff is legit because this is a huge supplier and we've purchased the same product from them before, without the tariff.  We deal with them directly, it's not just online or anything and we have a dedicated salesperson.  So I don't feel that it's bogus but I have wondered what the amount is that they are actually paying for it and whether or not they pay it up front or they're just asking for it ahead of time.  I doubt I will get a clear answer on that one...

That’s fair! 
It just seems like something that is not being tracked very well. How much they actually are. If it becomes even more normal I’m wondering

if there will be more checks on it. Businesses having to prove the tariff etc. I could be crazy though 😂 

just seems weird we can say “oh yeah tariff” but there’s no real

proof of exactly how much. People now just expect a tariff so will people abuse that?

Foodservice wise, it is assets and some disposables that are what we have to watch.  For us, it is making sure to watch our invoicing, and if we get snagged, recheck alternates, and adjust if needed.  For food service, you can't get behind on costs and pricing.  Gotta stay proactive.
