Inventory & online store behavior

First, yes I'm very new at this, but fairly tech-savvy. I know I'll have lots of time to figure things out before I actually get an order lol

I make one-off items and very rarely duplicate items. I don't see anywhere in the item setup to enter a quantity, except for the 'per order limit' field. Entering 1 in this field still allows a buyer to add more of the item when they go to the cart. Is there any way to prevent this?

Part 2 question: When an item is purchased, is it removed from the online store, or do I have to manually remove it? It would be great to have this automated, but I suspect it is not.

Thanks

Sheila

Hi there- we have a ton of one-off minerals and jewelry..this is how you do it (it's tedious but worth it).

We add items from our laptop- just easier to drag & drop photos, copy & paste our "fine print" etc.

Step One hit that black create item button

Step Two- start filling out all the open fieldsScreenshot 2026-02-04 at 12.02.27 PM.png

Step 3 is where you'll enter inventory quantity

Step 4 you want to hit variation so the item has a "name" and doesn't default to regular - so click "add"Screenshot 2026-02-04 at 12.02.46 PM.png

Fill the out- but for some reason set initial stock doesn't work for me from this screen- you need to use the prior screenScreenshot 2026-02-04 at 12.02.53 PM.png

Hope this helps 🙂

Thank you so much Dina.

Mine looked different under the Inventory section and I was starting to think I had to upgrade to a higher priced plan or something. I messed around for a while and finally discovered the Stock on hand option under "Change tracking"  A bit more messing around and I was able to set the amount by "receiving stock"

It's going to be a lot of work to change all the items from the default of track by availability, but happy to know what to do now.

Thanks again!

Hi! Customers are only able to purchase what you have as available on your website (stock quantity). And so long as you're using Square's website connection, then yes, it is an automatic deduction from your stock when someone purchases online. I use it and have over 10,000 skus . . . I could NEVER keep up if it was all manual!

OH- when an item is purchased it still shows up as a live, "sold out" product... so you will need to make it unavailable
