niche service - customized capacity

Hello, I have a niche service for drop in care. Due to state regulation, there can only be a certain amount of drop ins I can take. So my question is is there a way to have people "book" a drop in time to check in and then we can adjust the number of hours they stay once they "check out"?

 

Second question: Is there a way to set up the appointments where at any given time, I can't go over a certain amount of appointments in a given hour? i.e. I can take 5 kids max and have 5 booked between the hours of 1 -5pm. If someone tries to book in that time, I want people to be wait list (which I see there's a beta option but wondering if it could tie into what I am asking)... and say one kid leaves at 3pm, a stop opens... could the scheduling open up with that one availability by either notifying the next wait list or appearing on the schedule as available?

Hey there @toucantoo , these are some great questions. I did get some more insight from our Appointments Team who stated we currently do not have a way to customize the capacity. There are workarounds you can use like creating dummy profiles and having it to where there can't be more than 5 secluded at once, but it isn't the most ideal solution. They did suggest there is a class features beta test going on that might be better suited for your needs. Would you like to join it and see if that works for you?

> Set up the service in Square Appointments for "Drop In Care Appointment" for a 4 hour duration. Create a sign in sheet [this can double as your policy/consent form maybe?] at the front that includes name, child name, date, sign in time, and sign out time. When they leave, they have to leave their sign out time or else they are charged for the entire duration. 

 

Do you charge by the hour? Half hour? Create these items in your Square.

1 hour, 2 hours, 3 hours, 4 hours. Then, based on your sign in/sign out sheet add the item that is most appropriate and charge card on file.

1. In Square Appointments, set up 5 staff members (because you have a max of 5 kids per block).

2. Update Staff profiles to offer the service mentioned above.

3. Update their availability to be from 1-5pm.

4. Turn off "choose a staff member" settings so clients are not required to book with one staff member versus another; since this doesn't matter.

5. Turn on the waitlist option so, when kids leave you can manually call up the guest and let them know they are available. I like to write down the name and phone of the person before the shift so I can call asap instead of digging through the computer for it.
