I run a small house painting company and recently started using Square to manage my appointments and bookings for clients. Most of my customers book interior and exterior painting services through the system. However, I’m facing some confusion with how bookings and payment confirmations are showing in the dashboard.
Has anyone here used Square for a painting or home service business? I’d like to know the best way to manage appointments and make sure client bookings and payments are tracked properly.
Hi @Allan122! Since you're handling larger home service jobs like interior and exterior painting, the confusion in the dashboard usually stems from how Square differentiates between a "Booked" appointment and a "Paid" transaction.
One thing to check is your Prepayment settings. If you aren't requiring a deposit or full payment at the time of booking, the appointment will show up as "Booked" but won't show a linked payment until you manually "Check Out" the appointment in the App or Dashboard.
To keep your tracking clean, I'd recommend:
1. Using the "Check Out" feature directly from the appointment calendar once a job is done. This explicitly links that specific painting job to the payment.
2. Filtering your Transactions report by "Source: Appointments" to see only the payments tied to your bookings.
Does the confusion happen mostly when clients pay on-site, or is it with the online booking side of things?
